Job Purpose

As HR Officer, Japan, you will play a key role in the day-to-day execution of our People strategy and be the first point of contact for local employees in our Tokyo office. You will ensure smooth implementation of HR initiatives, ensuring compliance with local labour laws, regulations, and cultural practices in Japan and also the wider APAC region. This position will also be involved in local, regional and global HR projects.

Given the nature of our ever-evolving business, we require someone who is inquisitive, dynamic, easily adaptable and comfortable in a changing environment.

Main Duties and Responsibilities

  • Local HR Implementation: Collaborate with the HR Manager to adapt and implement global HR initiatives to the local Japanese context.
  • Employee Relations: Provide guidance and support to managers and employees on a variety of employee relations issues, including performance management, conflict resolution, and disciplinary actions, always ensuring adherence to Japanese labour laws.
  • Recruitment and Onboarding: Assist with the recruitment and onboarding process, ensuring a positive candidate and new hire experience.
  • Policy and Compliance: Maintain up-to-date knowledge of local labour laws and regulations, ensuring company policies and practices (including the Worker Regulations) are compliant.
  • HR Administration: Manage day-to-day HR administrative tasks, such as maintaining employee records (including our HRIS system), processing payroll, coordinating social security and benefits, as well as tax filing.
  • Benefits: With the support of the HR Manager, APAC, negotiate policy renewals and the implementation of new benefits to ensure a competitive package is offered to staff. 
  • Expats management: Partner with the Global Mobility team to facilitate smooth on-boarding and off-boarding of expat employees, such as payroll set up, tax filing and visa applications
  • Employee Engagement: Support initiatives to foster a positive and inclusive workplace culture in line with company values.
  • Reporting and Analytics: Collect and analyse HR data to identify trends and provide insights to the HR Manager.
  • Talent: Support the HR Business Partner and local managers to conduct talent and succession planning exercises. 

Expat Relocation Projects: Support APAC and local expat relocation projects, coordinating with both internal and external stakeholders

  • APAC: Work as part of the wider APAC HR Services team.
  • Special Projects: Assist with various HR projects as needed, such as learning and development initiatives or Workday process improvement.

Person Specification - Qualifications / Competencies / Skills / Experience

  • Experienced in relevant payroll and HR administration experience
  • Excellent interpersonal, problem solving, organisation and customer service skills
  • Result-driven and able to meet deadlines
  • Ability to maintain a high level of trust and integrity to handle sensitive and confidential situations and documentation; great attention to details
  • Comfortable working autonomously without direction when required but also collaboratively as part of a global team with common objectives
  • Ability to objectively prioritize workload
  • Ability to liaise with employees at all levels of the organization
  • Strong understanding of Japanese labour laws & regulations
  • Willingness to learn and adapt to a dynamic and fast-paced work environment
  • Given the global nature of the role good spoken and written Japanese and English is required 

Preferred Experience

  • Proficiency in Workday HRIS
  • Prior experience working for a multinational company
