HR Operations Specialist

You’ll spend time on the following list of Activities:
I. Onboarding Activities:
- Initiating pre-joining formalities and new joiner engagement.
- Orientation day coordination (1-day program).
- Hiring the new joiner in the HRIS system.
- Checking mandatory documents and uploading the joiner documents in the HRIS system.
- Coordinating onboarding, joining formalities, and induction for new joiners.
- Checking/getting the personal details & benefits details updated in the HRIS system.
- Following up with the joiners to make sure their details are updated on time in the HRIS system for payroll processing.
- First point of contact for different queries from new joiners/employees and help resolve them, guiding them to correct POCs or HR@groupon.com. Support on all HR-related assistance.
II. Background Verification Process:
- BGV coordination (Follow-up with a new joiner to complete the forms).
- Closing on the insufficiency & getting the case to closure (includes coordination with BGV vendor and employees).
- Uploading the BGV reports to the HRIS system.
- Report preparation for Background Verification Status.
- BGV Invoice processing.
III. Track Jackets, Exits & Employment verification:
- Anniversary gift distribution coordination
- Leavers - exit formalities closure and providing Relieving & Service letter/employment verification letters.
- Employment reference check (verification) for ex-employees.
- Managing unauthorized absence process (as applicable).
- Updating the tracker & intimating the IT / Admin team for access removal accordingly
- Uploading leave documents in the HRIS system
IV. Other initiatives/activities:
- Employee handbook - Maintaining & updating it.
- Team Hub page (intranet portal) - keeping it updated.
- Adhoc Letters based on requirements.
- Invitation letters for employees traveling between countries where Groupon offices are located.
- Covering letter for India employees traveling outside India.
- Employment confirmation letters and other adhoc letters (need basis).
- Additional adhoc initiatives/activities (based on the requirements from the stakeholders at Bangalore).
V. Payroll process for Regular Employees:
- Collating the variable payment elements (incentives, awards, and any missed exceptional time entries) and sharing the inputs with the payroll team.
- Updating & validating one-time payments in the HRIS system.
- Providing the exit clearance inputs to the payroll team on the payroll cutoff date for the leavers (for Full & Final settlement processing).
- Active list reconciliation – final list to stop/pay salary.
VI. Reports & HRIS system Transactions:
- Preparing monthly Attrition reports based on requirements.
- Gratuity payment Inputs to finance teams.
- Leave balance & other details (as required) report for local statutory compliance requirements.
- Reports for the local statutory compliance vendor, based on the requirements.
- Adhoc reports (there would be lots of adhoc report requests from stakeholders).
- Job change transactions - Adhoc Transfer, ITM Moves, Location changes, personal details & other HRIS system triggers.
VII. Vendor Management for HR Operations-related vendors:
- Coordinating with them regularly and following up on services as per local requirements.
- Managing the PO creations on time.
- Processing the invoices when received within timelines.
VIII. HRIS system Automation & Helpdesk tickets
- Suggesting value-added automation based on the day-to-day process
- Handling HR helpdesk tickets – managing employee queries via helpdesk.

Prior work experience in HR Shared Services / HR Operations teams supporting global HR processes, and should also be flexible to work in EMEA shift timings as per the need.
