About the role: 

The primary role is to help facilitate the end-to-end procure to pay process including the setting up of new suppliers and the processing of the FT’s contracts for the purchase of goods and services using its new automated Procurement system, Coupa. 

This will include maintaining supplier contact records, supporting the contract approval and signatory processes and associated Coupa administration.  Proactively helping to resolve issues preventing new supplier requests and contracts from proceeding through to approval and implementing working practices to ensure continued compliance and adherence to internal policies.

The role is a great opportunity for an ambitious individual to proactively identify opportunities, problem solve and work independently alongside other teams.

Main duties and responsibilities

  • Facilitation of the contracting process including issuing approved legal documentation out for signature in line with the FT Schedule of Authority to internal stakeholders and to suppliers.  Ensuring all signed documentation is returned and correctly uploaded within Coupa
  • Once the contract has been signed, ensuring all contract information is correctly entered into Coupa including the correct start date, the setting up of alerts in relation to notice dates and auto-renewal as well as ensuring that the contract owner is added to the contract record.
  • Supplier Financial Risk Screening (Dun and Bradstreet)
  • Maintaining the supplier information in terms of supplier addresses,
  • contacts and helping to ensure key information is captured and kept updated to facilitate contract close-out, extensions or renewals
  • PO-exempt supplier list management including notifying business users.
  • Management of POs stuck in Coupa (where email addresses are missing)
  • Providing management information and reporting e.g., pending renewals
  • Working alongside key stakeholders to provide guidance on procurement policies and how to use the procurement system, Coupa.
  • Managing business facing updates about the Procurement Ops team on various internal communication platforms e.g., internal Intranet and Slack
  • Creation, maintenance, and distribution of exception reports
  • Supplier and process query management and resolution via new internal Freshservice query management tool.
  • Providing ad hoc analytical support to the Procure to Pay team as and when required.

Qualifications:

  • The candidate must possess at least a Bachelor's/College Degree in Finance and/or Accountancy or equivalent courses.
  • A minimum of 2 years work experience in Procurement or Procure to Pay team with strong communication skills.
  • Experience in operating Source to Pay (S2P) platforms (Coupa would be preferable) with strong knowledge across core functionalities and modules.
  • Strong knowledge of Procurement operations processes, for example contracting, query management, supplier, and content enablement
  • Proficient English in both written and verbal formats
  • Ability to coordinate and engage with key stakeholder groups across the business, Global and Local business units and suppliers.
  • Strong analytical and problem-solving skills to support activities such as reporting and query management.
  • Highly organised, manages workload to timelines and priorities.
  • Ability to work in a transformational environment and comfortable adapting to changes in scope, direction and/or timelines.
  • Strong administrative skills with experience of adhering and enforcing processes.
  • Results driven and self-motivated.
  • A sound working knowledge of Microsoft Office and Google.
