Leadership of the Department

The Product, Technology and Data department is led by the Chief Product and Technology Officer, part of the FT Management Board. The CPTO’s Leadership team consists of the Chief Technology Officer, Chief Product Officer, Chief Data Officer, VP of Portfolio and VP of Cyber, as well as an EA to the CPTO.

Role Overview

The Team Assistant will provide comprehensive administrative and organisational support to the Senior Leadership Team (SLT) of the Product and Technology department. This includes managing diaries, coordinating meetings, handling expenses, and organising events. The ideal candidate will be a great communicator, highly organised, proactive, and able to handle a broad range of administrative tasks efficiently. There is also the potential for broader involvement in department-wide initiatives, offering opportunities to grow within the department.

The role will report into the VP of Portfolio and will liaise closely with the EA to the CPTO, including cover as needed.

Key Responsibilities:

  • Diary Management: Efficiently manage and coordinate complex calendars for the SLT across different timezones.
  • Travel & Expenses: Arrange business travel and process expenses for the SLT.
  • Meeting Support: Organise internal and external meetings, support with agenda preparation, book rooms, and ensure smooth execution of logistics, including greeting external visitors.
  • Event Organisation: Support SLT in planning and executing department-wide events, such as town halls, working group meetings, off-sites, and social gatherings including with regional offices in Bulgaria and The Philippines.
  • Communication & Coordination: Liaise with internal and external stakeholders, ensuring clear communication and coordination across meetings and events.
  • Support for Senior Meetings: Assist with the preparation of slide decks, agendas, meeting minutes, and follow-up actions for senior leadership meetings
  • Administrative Support: Assist with general administrative tasks and ad-hoc support as required such as equipment ordering, managing distribution lists, document ordering, small value purchases.

Required skills and experience:

  • Organisational Skills: Strong ability to manage time and priorities across multiple responsibilities for a busy senior team.
  • Communication Skills: Excellent verbal and written communication, able to communicate in a professional manner with stakeholders of all levels from Board to junior and with people of different backgrounds and levels of experience across the organisation.
  • Integrity: the role will be required to operate in contexts where confidentiality and discretion are of utmost importance. Trustworthiness is highly important.
  • Proactive Attitude: Highly motivated with the ability to anticipate needs and take initiative to solve problems without needing constant direction
  • Ability to work autonomously with minimal supervision
  • Event Management: Experience organising large events or meetings
  • Attention to Detail: Meticulous attention to detail when handling expenses, travel bookings, and meeting logistics.
  • Technical Skills: Proficiency with software (e.g. Google Suite, Slack, Trello)
