About the Role

You will play a crucial role in ensuring the smooth running of our global commercial department function by providing administrative support to our VP of Commercial Management. The role will extend to being responsible for some key commercial tasks for our regional commercial teams.

Main Responsibilities

Commercial Administration:

  • Invoice Tracking – ensure Design & Construction vendor invoices are tracked through the system acting as the conduit between commercial and accounts payable. Chasing the relevant stakeholder to unblock any delays to payment.
  • Purchase Orders Tracking – monitor all Design & Construction purchase orders ensuring Regional Commercial Directors have suitable coverage for all commitments, uplifting as required aligned to the DOA and flagging any issues to the VP of commercial management.
  • Reporting – ensure all commercial deadlines for reporting are adhered to chasing the regional teams and offering support to the VP of commercial management
  • Commercial Security – keeping track of all the required commercial documents (warranties etc) required under our contracts to ensure compliance.
  • Document Handling: Typing, formatting, and editing reports, documents, and presentations.
  • Data Management: Entering data, maintaining databases, and keeping records.
  • Communication: Liaising with internal departments to aid with any key commercial deliverables that require cross functional collaboration
  • Ad hoc commercial tasks as required.

Personal Assistant:

  • Provide overall support to the VP including diary management.
  • Organize and coordinate internal and external meetings
  • Interact with internal/ external stakeholders and customers as required
  • Liaise closely with all global offices for business and program roll-outs
  • Keep track and proper filing of confidential documents in both hard and soft copy
  • Arrange business travels, accommodation, visa applications, expenses and other travel needs
  • Regularly update and maintain business contacts
  • Registration for seminars/events
  • Attendance at key commercial meetings to ensure key actions/matters are recorded and monitored.
  • Event Coordination: Preparing facilities for scheduled events and arranging refreshments if needed.
  • Embrace a fast paced hyper growth environment and respond to any other ad-hoc duties as and when assigned

Qualifications and experience

 /  Computer literate with Office 365

 /  Ideally previous experience in legal or commercial functions

 /  Managing busy dairies and high priorities

 /  Intermittent travel globally to support any commercial events as organized. Travel within UK/Europe as required to fulfil commercial deliverables.
