HR Operations Team Lead

The HR Operations Team Leader is responsible for the effective management of operational processes related to payroll, reporting, and time tracking. This role will lead a 3-person operations team, ensuring timeliness, compliance with labor law regulations, and high-quality data and reports for management and supporting departments.

This is a fully on-site position from Warsaw office!

 

✅ Scope of Responsibilities:

  • Payroll & Compliance
    • Oversight of the payroll process in cooperation with an external accounting firm / finance department
    • Ensuring the accuracy and timeliness of payroll, overtime payments, allowances, and bonuses
    • Monitoring compliance of payroll processes with labor law regulations
    • Verification of employee documentation (employment contracts, annexes, time records, medical certificates, OHS documentation)
    • Cooperation with the Legal and HR departments regarding legal changes and procedures
    Reporting & Analysis
    • Preparation of recurring operational and payroll reports (labor costs, overtime, absences, FTE)
    • Data analysis and identification of irregularities and areas for optimization
    • Ensuring high data quality within operational systems
    • Reporting results to management
    Team Management
    • Direct management of a 3-person operations team
    • Planning team workload and setting priorities
    • Providing substantive support and developing team competencies
    • Monitoring task execution and team KPIs
    Processes & Systems
    • Implementation and optimization of operational processes (time tracking, payroll, reporting)
    • Working with HR/payroll systems (e.g., Enova, Humanity)
    • Participation in process automation and system integrations
    • Creating and updating operational procedures

 

✅ Requirements:

  • Minimum 3–5 years of experience in operations, payroll, or HR Operations
  • Experience in team management (minimum 2–3 people) – nice to have
  • Very good knowledge of payroll processes and time tracking
  • Knowledge of Polish labor law regulations (practical experience is a plus)
  • Strong analytical and reporting skills
  • Very good command of Excel / reporting tools
  • Experience working with HR/payroll systems (Enova)
  • High attention to detail, accountability, and a process-oriented mindset
