Your role
We're seeking a Facilities Coordinator for our Facilities Management team. As Facilities Coordinator, you will be crucial in managing daily office operations, maintenance, and security. Overseeing staff, contractors, and projects. Ensuring regulatory and safety compliance.
Drawing on your proficiency in guaranteeing smooth operations with efficient maintenance practices, you will be responsible for cultivating strong partnerships with service providers and collaborating with building management to ensure seamless daily operations and efficient problem-solving for building-related concerns to create unique experiences only Tamara can provide.
With a proven track record of expertise in facilities management software and security systems to optimize operations and ensure a safe environment, highly organized and detail-oriented, and ultimately revolutionize the way millions of users shop, pay, and bank.

Your responsibilities
Maintenance Supervision:
- Oversee troubleshooting, preventive, and predictive maintenance for electrical, mechanical, and plumbing systems.
- Ensure timely and effective maintenance activities.
Contractor Management:
- Manage hard and soft services contractors, ensuring quality and timely delivery of services.
- Maintain good relationships with service providers.
Project Leadership:
- Lead adhoc and retrofit projects, ensuring they are completed on time and within budget.
- Coordinate project timelines and resources effectively.
Ticketing System Management:
- Manage the facilities ticketing system, addressing stakeholders' requests promptly.
- Ensure timely resolution of issues and maintain accurate records.
Health and Safety:
- Implement and oversee health and safety protocols, including incident management, evacuation, and emergency response plans.
- Conduct regular staff training sessions on safety procedures as per authorities requirements.
Visitor and Security Management:
- Manage visitor and guest protocols, including sign-in processes and issuing visitor badges.
- Monitor office security systems and maintain a secure environment.
Building Management:
- Liaise with building management on day-to-day concerns and ensure smooth operations.
- Address and resolve building-related issues promptly.
Regulatory Compliance:
- Ensure all operations comply with local authorities' requirements.
- Maintain up-to-date knowledge of regulatory requirements and standards.
Utility Provision:
- Ensure the continuous provision of all utility requirements, including water, electricity, and HVAC systems.
- Monitor utility usage and identify opportunities for efficiency.
Asset Management:
- Ensure all assets are managed within the Asset Management System.
- Maintain maintenance history records and generate reports as needed.
Consumables Management:
- Manage stocks of consumables, including chemicals, pantry supplies, and stationery.
- Ensure safe storage and proper inventory control.
Policy Adherence:
- Ensure adherence to all office policies and guidelines.
- Promote efficient utilization of facilities and resources.
Your expertise
- Bachelor’s degree in electrical or mechanical engineering.
- Proven 1-3 experience in facilities management or a related field.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency with facilities management software and security systems.
- Ability to handle emergencies calmly and efficiently.
Additional Information:
This position may require occasional evening or weekend work.
