Your Role

This role requires you to be a Swiss Army knife. It'll engage every skill you have and make your brain cells perk up—left brain, right brain, and muscles you didn't know you had.

If you're the type who enjoys building the plane while it's flying, this is your seat. We're a brand-new comms department, inside a 1,000-person scale-up operating across multiple offices and time zones.

There's structure where it matters and space to build it where it doesn't exist yet. You'll help shape how we work, not just execute what's already there.

We're in charge of crafting the company's narrative and ensuring it's clear, consistent, and visible across all our stakeholders: customers, partners, media, talent, investors, regulators, and more. We're looking for a PMO Specialist to help run, coordinate, and deliver the work that keeps our Communications function moving forward.

Your Responsibilities

Strategic Project Delivery:

  • Own end-to-end delivery: Lead high-impact projects and special initiatives. You will drive timelines, manage complex stakeholder relations, and ensure high-quality output across the board.
  • Orchestrate complexity: Manage multiple parallel workstreams, ensuring tight alignment across cross-functional partners (Product, Finance, Legal, etc.) and leadership.
  • Agency & Vendor Stewardship: Lead the analytical and negotiation process with agencies and vendors. You will work directly with agency owners to define scope, refine performance metrics, and ensure commercial alignment with our strategic goals.

Strategic Planning & Executive Influence:

  • Drive planning cycles: Lead the operational aspects of annual planning, budgeting, and OKR processes. You will be responsible for the integrity of the data and the quality of materials presented to executive leadership and the CEO Office.
  • Strategic facilitation: Proactively manage stakeholder alignment, ensuring clear communication and progress across the organization.

Operational Excellence & Architecture:

  • Build and scale: Don’t just follow processes—architect them. You will identify gaps in our current operations and build scalable frameworks from scratch to improve team efficiency.
  • Drive truth and transparency: Establish and enforce rigorous standards for documentation, tracking, and reporting that serve as the "single source of truth" for the department.

Commercial & Contract Rigor:

  • Lead contract lifecycle: Take ownership of the coordination of agreements, NDAs, and vendor contracts, working closely with Legal and Finance to navigate complex procurement cycles.
  • Financial stewardship: Proactively manage the financial health of the function, including budget tracking, billing, and vendor management, with high precision and autonomy.

You'll work closely with:

  • Internal teams (Finance, Legal, Product, IT, Design, HR)
  • External agencies and vendors
  • Executive leadership and the CEO Office

Your expertise

Skills & Experience:

  • Strategic Project Leadership: Proven ability to manage competing priorities and complex stakeholder landscapes in a fast-paced environment.
  • Cross-Functional Collaboration: Demonstrated success working in diverse, high-impact teams, with the ability to bridge gaps between different departments to drive collective progress.
  • Exceptional Communication: Expert-level written and verbal communication, with the ability to synthesize complex data into clear, persuasive narratives for senior leadership.

Mindset:

  • Owner Mindset: You take full ownership of your domain. You don’t wait for instructions to fix broken processes—you see them, you build the solution, and you own the outcome.
  • Comfort with Ambiguity: You thrive in environments where the path isn’t clearly defined. You have a natural ability to create structure out of chaos.
  • High-Stakes Grit: You are ambitious, hungry to learn, and capable of working effectively across multiple priorities in a high-pressure, fast-moving business environment.

Independent Driver: You are a self-starter who can navigate complex organizational structures to push progress forward, even when resources are constrained.
