What we are looking for:
We are looking for a dynamic and motivatedPeople & Office Operations Associate to join our growing team in Skopje
You will be working closely with the Office Manager Lead located in Switzerland, but mainly support Skopje based team on office and people-related operations, making sure the office runs smoothly and is a great place to work.
The position is office-based.
You are reliable, able to multitask, and adapt in a fast-paced environment, with excellent communication and time management skills.
Some tasks listed will require physical work and/or time flexibility.
What you will do
- Works closely with the International Office Management team and under the leadership of the local Office Manager in Skopje.
- Take an active part and eventually own daily Office manager tasks such as purchasing office supplies, ordering meals and snacks, and managing inventory.
- Supports the organization of office and off-site events, including company events, breakfasts, board game activities, and similar initiatives.
- Assists employees visiting from other Proton offices, including booking flights and accommodation, and welcoming them upon arrival.
- Arranges travel for employees based in Skopje (individual or group reservations).
- Maintains relationships with external vendors such as food delivery services, cleaning services, and others; monitors their work and proposes improvements.
- Takes on certain administrative tasks in the absence of the local Office Manager, in accordance with established procedures.
- Performs manual tasks such as preparing meeting rooms, organizing storage areas, and supporting tasks related to maintaining office cleanliness.
- Maintains, updates, and manages employee records in compliance with labor law and applicable regulations.
- Prepares, records, and archives employment contracts, annexes, decisions, and other documents related to the employment relationship.
- Ensures confidentiality of information, documents, and personal data accessed during the course of work.
- Provides administrative support in onboarding and offboarding processes.
- Communicates with employees regarding operational and administrative matters related to the use of HR software.
- Enters, updates, and maintains employee data in HR software and internal records.
- Provides timely and accurate HR administrative support to the team.
Job Requirements
- Bachelor's degree in business administration, communications, hospitality or a related field
- Work experience in an administrative/office management role
- Fluent in English both written and verbal
- Must have exceptional attention to detail
- Strong organizational and time management skills, and ability to prioritize
- Must be a self-starter and result-driven.
- Excellent communication and interpersonal skills
- Strong problem-solving skills, complaint handling and analytical abilities
- Proficient in technology, especially Microsoft Office applications.
