Office Coordinator (Part-time)

What you will do:

The Office Coordinator leads workplace operations and admin support for the local assigned offices, ensuring exceptional Lighthouse experiences that seamlessly blend the physical office, people, and culture. This role focuses on dynamic workspace solutions and efficient office event management. Please note that his is a part-time position (4 days per week/5h per day).

Where you will have impact:

Day-to-Day Office Management

  • Responsible for all practical & logistic coordination in the office: food, drinks, office supplies, office equipment, etc. 
  • Ensure office efficiency by maintaining common areas, maintenance of office storage and overseeing supplies & equipment 
  • Provide administrative support as needed: scheduling appointments, meetings, mailing packages etc. 
  • Coordinate the welcome and baby packages for new joiners and new parents
  • Coordinate new hire computer hardware setups with HR Coordinators 
  • Collaborate with vendors, track invoices, and partner with Finance team for timely payments

Culture Ambassador

  • Welcome new employees in the office
  • Act as a champion for the organisation's values and cultural initiatives
  • Advocate for a positive and inclusive workplace environment

Local Event Planning

  • Support with the planning and practical coordination of all events in the Madrid and Barcelona offices

Facilities Management

  • Overview maintenance and cleanliness
  • Building management coordination for repair and improvement

Who you are:

  • Experienced in office management or related roles is a plus
  • Great organizational, multitasking, and coordination skills
  • Strong written and verbal communication skills
  • Proficient in office software and tools, including Google Suite
  • Familiarity with facilities management and event coordination
  • Independent, enthusiastic, and willing to provide hands-on support
  • Detail-oriented with strong analytical skills, emphasizing office and culture insights
  • Based in Madrid and able to work in the office regularly
  • Fluent in English and Spanish, both written and spoken; knowledge of other languages used within our company network is a plus
