Executive Assistant

We are looking for a reliable, proactive, and people-oriented Executive Assistant to support senior leaders at JetBrains. This role is an important part of how our leadership team operates day to day, helping ensure that time, information, and priorities are well managed in a fast-moving environment.
About the team
Executive Assistants at JetBrains work closely with the Management Board and senior leaders as trusted partners in their day-to-day operations. The role goes beyond traditional executive support and includes coordinating projects, communicating with stakeholders, and helping shape simple, effective ways of working.
The focus is on clarity, time management, and prioritization, ensuring that leadership remains unblocked and able to concentrate on the highest-impact work. Executive Assistants operate with a high degree of autonomy, trust, and collaboration across a variety of roles.
In this role, you will:
- Orchestrate time, meetings, and travel – balance the VP’s calendar and priorities, coordinate internal and external meetings (including agenda design, content preparation, decision tracking, and follow-up hygiene), and manage end-to-end travel (itineraries, changes, and expenses), staying agile when plans shift while maintaining accuracy and deadlines.
- Protect the VP’s focus and standards – help manage and prioritize inbound requests, ensuring the VP’s time is spent on the highest-impact work and resetting expectations when timing or ownership needs to change.
- Build trusted partnerships – build strong connections within the immediate team and across departments, becoming a trusted partner to leaders and employees alike. This includes a strong understanding of team dynamics, priorities, and the stakeholder landscape, facilitating seamless coordination on high-stakes projects.
- Maintain structured leadership communication – set up and maintain clear, reliable systems and channels to track key partner and stakeholder interactions, keeping leadership informed, aligned, and prepared for upcoming meetings and decisions.
- Design and run projects and operating rhythms – design, implement, and continuously refine workflows and operating rhythms that improve focus, alignment, efficiency, and predictability among all members of the executive office and broader team, using solid project management principles (planning, sequencing, risk identification, and change management).
- Lead cross-functional initiatives end-to-end – scope and plan cross-functional projects, track milestones and interdependencies, identify and surface risks, and ensure clear decision-making and on-time delivery.
- Support people and leadership processes – preparation for performance cycles, onboarding coordination, team communications, and partnering with HR to ensure the leader’s organization runs smoothly and with clarity.
- Support and coordinate ad hoc projects and special initiatives – support planning and execution of leadership gatherings, internal events, and other priority initiatives together with relevant teams, aligning stakeholders and helping ensure smooth delivery.
- Operate with ownership and discretion – exercise sound judgment when handling sensitive and confidential information.
You might thrive in this role if you:
- Have 5+ years of experience in an executive support, operations, or similar coordination role, ideally supporting senior leaders in a dynamic tech or high-growth environment.
- Are fluent in English (spoken and written), with other languages being a plus.
- Think analytically and structurally – you can synthesise large amounts of information into concise insights, summaries, and action points.
- Are proactive and anticipatory, spotting needs before they surface and removing friction for the VP and organization.
- Are business-minded and curious about the “why” behind decisions, not just the “what”, and can offer structured thinking, ask clarifying questions, and support decision-making when needed.
- Take ownership and exercise good judgment – you can make independent decisions, maintain healthy boundaries, and know when something truly needs escalation, balancing a service-oriented mindset with assertiveness.
- Are very comfortable with modern tools (Google Workspace, Slack, Miro and similar) and have a genuine interest in the products we build and how AI can transform the way developers work.
