Team

As the Office Manager, you will join our People & Culture function, supporting the seamless operation of our workplace environment- primarily in our Frankfurt am Main office, but also extending to our Munich location. This role is essential to keeping the heartbeat of our office running smoothly, providing hands-on support across departments, engaging with external vendors, and cultivating a space where collaboration and professionalism thrive. Your Responsibilities

We're looking for an Office Manager to join us onsite in our Frankfurt office on a 30-hour-per-week contract (6 hours a day, 5 days a week).

  • Office Administration: Oversee daily office operations, manage supplies, and ensure compliance with office policies and procedures.
  • Front Desk & Reception: Act as a welcoming face to visitors, manage calls, deliveries, and ensure a professional front-of-house experience.
  • Meeting & Event Support: Organize internal events and meetings, including logistics, catering, and materials.
  • Finance Assistance: Track office expenses, manage petty cash, and liaise with Finance on invoices and reporting.
  • Vendor & Contract Management: Negotiate and review contracts, monitor performance, and maintain strong supplier relationships.
  • HR Onboarding Support: Coordinate onboarding logistics, workspace setup, and introductions for new joiners.
  • Internal Communications: Facilitate smooth communication across departments and with external partners.
  • Culture & Environment: Maintain a clean, safe, and inclusive workplace; support social initiatives and health & safety procedures.

Your Profile

  • Proven organizational and multitasking skills in a dynamic environment.
  • Confident communicator with strong written and verbal English and German. 
  • Tech-savvy with proficiency in Microsoft Office (Excel, Word, Outlook).
  • A keen eye for detail and a proactive problem-solving mindset.
  • Capable of working independently and collaborating across teams.
  • Experience in vendor negotiation and contract management is highly valued.
  • Friendly, inclusive, and approachable—able to create a welcoming office culture.
  • Able to manage confidential information with professionalism and discretion.
