Workplace Operations Manager
Role Overview
Location: Full time in our Wokingham office
We're looking for a proactive, organised and hands-on Workplace & Office Operations Manager to oversee the day-to-day running of our office while continuously improving the workplace experience as we grow.
This role combines operational excellence with strategic thinking. You'll ensure the office runs smoothly every day while managing facilities, vendors, office services and workplace budgets. You'll also identify opportunities to improve workplace processes, employee experience and operational efficiency, while supporting workplace projects and office improvements.
This is an ideal role for someone who enjoys balancing hands on office management with continuous improvement and longer-term planning.
Key Responsibilities
Workplace Operations
- Oversee the day-to-day running of the office, ensuring a safe, clean, organised and welcoming workplace.
- Act as the first point of contact for employees, visitors, suppliers and contractors.
- Develop and improve workplace processes, policies and standards.
- Identify opportunities to improve operational efficiency and employee experience.
Facilities & Vendor Management
- Manage relationships with cleaning, maintenance, security and other workplace vendors.
- Coordinate planned preventative maintenance (PPM) and reactive repairs.
- Monitor vendor performance, maintain health & safety compliance records and support procurement of workplace services and equipment.
Office Management
- Maintain office supplies, kitchens, welfare areas and communal spaces.
- Manage deliveries, phone calls, incoming correspondence and general office administration.
- Support onboarding by ensuring workspaces and equipment are ready for new starters.
Health, Safety & Compliance
- Act as Office Fire Marshal and First Aider (training provided where required).
- Conduct routine workplace inspections and maintain accurate health & safety documentation.
- Promote a safe working environment for employees and visitors.
Employee Experience
- Organise office events and employee engagement activities.
- Support workplace communications and initiatives that create an engaging, inclusive office environment.
Workplace Projects
- Support workplace improvement, refurbishment and office expansion projects.
- Act as the "boots on the ground", monitoring progress, ensuring works are delivered safely with minimal disruption, and escalating risks, issues and updates to the Workplace Project Manager.
- Assist with workspace moves, furniture installations and office reconfigurations.
Budget & Administrative Support
- Support workplace budgets, monitor expenditure, raise purchase orders, process invoices and maintain workplace records.
- During quieter periods, provide administrative support to the wider People team, assisting with coordination, documentation and other business administration tasks.
What We're Looking For
- Previous experience in Workplace Operations, Office Management or Facilities Management.
- Strong organisational, communication and stakeholder management skills.
- Experience coordinating external suppliers and contractors.
- Proactive problem solver who is comfortable working independently and taking ownership.
- Good understanding of workplace health & safety requirements.
- Financial awareness with experience managing office budgets or expenditure.
- Ability to balance strategic thinking with a hands-on approach.
