THE ROLE

We have an exciting opportunity for an experienced PA, who also has some experience supporting the administrative activities of a busy HR department. In this hybrid role, reporting to the Chief People Officer (CPO), you will combine traditional Personal Assistant (PA) work for the CPO and other executives, including the Chief Financial & Operations Officer (CFOO) and Chief Legal & Compliance Officer (CLCO) with administrative support for the broader HR Function and the Management Board.

Due to the amount of sensitive and confidential information to which the role-holder will have access, good judgment and discretion are critical attributes. We require someone who can work efficiently with strong attention to detail in a fast-paced environment assisting multiple senior members of staff.

As an organisation, we strive to accommodate reasonable requests for flexible working and in this role, to build effective relationships and develop an appreciation for the corporate culture, you will be expected to work from the London office around two days per week, with the remainder from home. You must be able to commute to London and be in a position to vary the days that you are able to be in the office to effectively support the various activities for which you will be responsible.

KEY RESPONSIBILITIES

Personal Assistant & Executive Support

The three executives to whom you provide support as PA require relatively light support for business activities only (you are not required to provide support for their personal or domestic lives). Core responsibilities are likely to include:

  • Calendar management (in particular, scheduling large meetings)
  • Making and managing business travel arrangements
  • Preparing and editing correspondence, documents and presentations
  • End-to-end facilitation of Management Board and Advisory Board Meetings (includes scheduling, overseeing logistics, taking and circulating accurate minutes)
  • Point of contact for external Advisory Board members for meetings and travel


HR Administration & Support

Although you will report directly to the CPO, you will work very closely with the Global Head of People Operations to ensure that the HR function is ably supported across a range of activities including:

  • Compiling and presenting HR reports (eg. headcount, attrition, D&I, training stats etc)
  • Editing and formatting documents, in particular policy documentation and PowerPoint presentations
  • Ensuring that an accurate and up-to-date policy suite is available to employees (includes maintaining the HR section of the Group intranet)
  • Maintaining well-organised, logical personnel records and other HR documentation, in alignment with our HR Data Retention Policy and broader GDPR requirements (with support, as needed from Legal and the Group Data Protection Officer (DPO))
  • Supporting the pre-employment and new joiner onboarding processes when required (holiday cover and/ or during periods of high demand)
  • Process sponsorship visas for foreign workers
  • Organising in-person training sessions and facilitating distribution and completion of mandatory training via our online platform (knowbe4)
  • Project work, as required


Once established in the role, it may be expanded to include acting as the key payroll liaison with our specialist supplier, payroll processing and responding to routine payroll queries.

SKILLS & COMPETENCIES

To be successful in this role, you will demonstrate:

  • Time management & prioritization skills - things can get a little hectic, so the ability to effectively manage yourself and your workload is critical
  • Excellent interpersonal and communication skills (in English and/or other European languages) - you must be able to organize your thoughts in a way that others find clear and compelling. You will be expected to put together well-written, grammatically correct emails and other communications. When communicating verbally – whether over the phone, on video calls, in person or in meetings – you will need to be articulate, warm and engaging
  • Flexibility - being an effective team player means being flexible in your approach and open to getting involved with new things, even if they are not spelt out in your job description
  • Intellectual Curiosity – we are looking for someone who is truly interested in our profession and has the intellectual curiosity to delve deep into topics and bring fresh ideas to the team
  • IT Literacy - you need to be comfortable with IT systems and working with data (you should have at least intermediate-level Excel)
  • Delivery focus – it may sound obvious, but the ability to proactively churn through work at pace and deliver quality outputs really matters!
  • Strong critical thinking and problem-solving skills

EXPERIENCE & QUALIFICATIONS 

  • Significant experience as a PA and some administrative experience in an HR team
  • Ability to handle sensitive information, confidential communications and situations with discretion and integrity
  • Positive attitude, flexible mindset and an ability to work collaboratively in a dynamic international environment
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Have the legal right to work in the UK.
