What you will be doing

  • Archiving & Document Control: Manage the end-to-end archiving process for personnel files, ensuring that all physical and digital records are indexed, labeled, and stored according to company retention policies.

  • Records Management: Organize and maintain the physical filing system, ensuring all employee documents are classified, securely archived, and easily retrievable.

  • Data Entry: Regularly update and manage employee information and log entries within our HR ERP system to ensure data integrity.

  • Interview Logistics: Coordinate and schedule interviews between candidates and hiring managers, managing calendar invites and meeting room bookings.

  • Documentation & Compliance: Assist in filling out HR reports and maintaining up-to-date documentation for all personnel files.

  • HR Correspondence: Draft and produce official HR documents, including employment letters, salary attestations, and various employee certificates.

  • Administrative Support: Provide daily support for the administrative needs of the HR department to ensure smooth operational flow.


What we are looking for

  • Educational Background: You are currently a student or a recent graduate in Human Resources, Administration, Library Science, or a related field.

  • Archiving Expertise: Knowledge of filing methodologies (alphabetical, numerical, or chronological) and the ability to maintain a rigorous document tracking system.

  • Organizational Mastery: Exceptional attention to detail, especially when it comes to sorting, labeling, and managing high volumes of physical paperwork.

  • Technical Literacy: Comfortable using office tools (Word, Excel) and a quick learner when it comes to HR ERP software and digital logging.

  • Writing Skills: Strong command of professional writing to produce accurate and formal HR letters and attestations.

  • Confidentiality: A strict commitment to handling sensitive employee data and physical records with total discretion.

  • Reliability: A methodical and disciplined approach to tasks, ensuring that archives are kept orderly and reports are filled with 100% accuracy.

  1. HR meeting
  2. Business meeting #1 with your potential manager
