Asia/Oceania Liaison Office – Office Manager

Status: 12 mth fixed term contract 

Job Purpose:  To support the IFRS Foundation in the operations of its AO office in Tokyo, including planning & management of stakeholder engagement.

Background:

The IFRS Foundation, the oversight body of the London-based International Accounting Standards Board (IASB) opened an office in Tokyo for enhanced liaison in the Asia-Oceania region in 2012.  With the creation of the International Sustainability Standards Board (ISSB) the role of the office has been expanded to support both Boards including Board members based in the Tokyo office, working in cooperation with the Foundation’s offices across the world.

Principal accountabilities:

Office operations and facilities management

  • Collaborate with IFRS Foundation central functions to ensure efficient operation of the AO Office.
  • Oversee daily management of the office to ensure compliance with relevant local and international laws and Foundation policies and procedures
  • Manage the relationship with the building landlord regarding security, health and safety, and building changes/notices.
  • Manage the contracts for office suppliers and general upkeep of the office i.e. cleaners; equipment; stationery. Liaise with the London IT team for IT management
  • Review, maintain and report to the local authorities as necessary, health and safety policies ensuring they are observed and compliant with local regulations.
  • Act as central of contact for visitors.
  • Direct any incoming mail and maintain office filing system.

Financial Control

  • Manage and control the office budget, authorising expenditure within pre-set limits and manage petty cash.
  • Translate Japanese invoices and other relevant correspondence into English, as necessary
  • Ensure all financial documentation and payments are properly approved and directed to the appropriate people.
  • Liaison with local accountant and tax advisors

Engagement

  • Manage relationships in AO region
  • Organise and support local events in liaison with the communications and ISSB engagement functions
  • Support with national and regional standard setters, regulators and market stakeholders in the Asia-Oceania region, as needed
  • Support the preparation and production of outreach communication materials such as podcasts/webcasts.
  • Support engagement related to funding opportunities within the region as needed.

Staff and trustee engagement

  • Provide pastoral support to staff housed the office
  • Support staff and secondee recruitment and onboarding
  • Provide regular support to local and visiting IFRS Foundation Trustees, Board members and IFRS Foundation staff.

Experience and qualifications required: 

Essential 

  • Credibility, reputation and track record
  • Fluent business English
  • Understanding of and commitment to the mission of the IFRS Foundation. 
  • Familiarity with key areas of operations activity. 
  • Strong written and verbal communication in both English and Japanese. 
  • Ability to work collaboratively and diplomatically with a wide range of internal and external stakeholders, including at senior level, to deliver positive outcomes in a timely manner. 

Desirable 

  • Relevant graduate-level qualification. 
  • Relevant professional qualification. 
  • Experience in using CRM software (Salesforce).
