Operations Coordinator

ClinChoice is searching for an Operations Coordinator to join one of our partner companies, a large pharmaceutical company leader in the field of biomedicines. In this role you will be responsible for supporting the clinical operations team. This is a permanent hybrid role based in Anderlecht, Belgium.

As a client-facing role, we are looking for confident candidates with the ability to work independently whilst establishing a high-trust environment with the client counter-parts.
Main Job Tasks and Responsibilities:
•Organizing and scheduling meetings and appointments.
• Maintaining calendars and supporting onboarding and offboarding of employees.
• Assisting with department forecasts and budgets, invoice review and approval.
• Arranging travel and preparing expense reports.
• Supporting the team with administrative tasks such as maintaining trackers, coordinating meetings, and creating presentations.
• Providing IT support and managing SharePoint and other platforms.
• Handling onboarding and offboarding processes, including access to IT platforms for CRO partners.
Education and Experience:
- Minimum of a Bachelor’s Degree preferably in Life Science, Physical Science, Nursing, or Biological Science required.
- Minimum of 8 years of experience in a similar role, preferably in the pharmaceutical or healthcare-related industry.
- Clinical research background experience is preferred.
- Good presentation and technical writing skills is a must.
- Strong administrative skills.
- Experience with international colleagues and travel coordination.
- Ability to work independently and provide quality work within agreed timelines.
- Excellent written and verbal communication skills in English.
- Proficiency in Microsoft Office Suite, SharePoint, and other related systems.
- Ability to handle confidential information and work effectively in a matrix environment.
- Good written and oral English communication skills are a must.
- Knowledge of French and Dutch is a plus.
- Familiarity with pharmaceutical business, medical terminology, and financial/business terminology.
- Experience with SAP, SRM, VIM, and other financial systems.
- Strong interpersonal and collaborative working skills.
- Ability to prioritize assignments, respond to changing priorities, and multitask.
- Creative problem-solving skills and a self-starter attitude.
