Job Summary:
We are seeking an organised and proactive Team Assistant ideally with experience in the finance sector to oversee the daily operations of our London office. The ideal candidate will ensure a smooth and efficient workplace by managing office supplies, coordinating meetings and events, liaising with building management, and supporting both HR and finance functions. This role requires excellent communication and interpersonal skills, strong organisational abilities, and a hands-on approach to maintaining a professional, welcoming, and well-functioning office environment.

Office Management:

  • Oversee daily office operations to ensure a smooth, efficient, and organized workplace.

  • Manage office supplies, inventory, and vendor relationships.

  • Welcome and assist guests; provide refreshments and maintain food & beverage areas.

  • Liaise with building management on maintenance, repairs, and security.

  • Coordinate meetings, including room setup and necessary equipment.

  • Provide building access and guide visitors.

  • Collaborate with HR to maintain office policies and support onboarding.

  • Assist finance and operations teams with budgets, expenses, and reporting.

  • Manage incoming communications and mail.

  • Organise office events, team activities, birthdays, and celebrations.

  • Ensure a safe, clean, and well-maintained office environment.

Event Planning Assistance:

  • Source venues, vendors, and suppliers; maintain organized documentation for future events.

  • Support travel arrangements and administrative logistics.

  • Assist with pre- and post-event evaluations, archiving photos, videos, and key metrics.

  • Track event-related expenses and attendee data.

  • Coordinate logistics for large events (e.g., AGM).

  • Manage event communications, including invitations and promotional materials.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field preferred but not essential.

  • Proven experience as a Team Assistant, Office Manager, or in a similar administrative role with office management responsibilities.

  • Strong organisational and multitasking skills.

  • Excellent communication and interpersonal abilities.

  • Proficient in office software (Microsoft Office Suite, Google Workspace, etc.).

  • Leadership experience with the ability to motivate and manage a team.

  • Detail-oriented, proactive, and able to solve problems independently.
