About the Role

As our Senior Billing Operations Specialist, you will own the end-to-end billing and payments cycle within Finance - from subscription invoicing through collection, reconciliation and reporting. You will also own payment risk monitoring across our integrated hotel payment processing platform, including negative balance management, dispute lifecycle tracking and recovery coordination. You will take existing workflows and build them into structured, scalable and automated processes. The role spans three revenue streams: SaaS subscriptions, integrated payment processing and agency commission billing. Taking an automation-first approach, you will design and run billing and payments operations by leveraging platform automations and AI-assisted monitoring to keep the team lean and effective.

Key Responsibilities

  • Design SOPs and build the governance framework for billing operations: credit note policy and approval matrix, commercial credits and discounts governance, refund and chargeback escalation policy. Document all processes in the team knowledge base, maintain audit trails and train junior team members.
  • Own the invoice lifecycle for high-volume monthly subscriptions in Stripe: generation, issuance, failure handling, credit notes and refunds.
  • Design and operate the dunning and collections process: configure Stripe Smart Retries, automated retry sequences, automated payment link distribution and escalation to collection agencies. Build workflows that minimise manual intervention.
  • Own payment platform risk monitoring: maintain the negative balance aging dashboard (current to 180 days), track cohort movements and recovery rates, manage dispute lifecycle from initiation through evidence submission and resolution, enforce dispute-rate thresholds by account and coordinate recovery outreach on overdue connected account balances.
  • Continuously optimise payment success rates across all payment methods and markets. Own Stripe configuration: Smart Retries, dunning emails, billing automations and failed payment recovery tools.
  • Build and maintain billing and payments reporting: weekly AR aging (30/60/90+), monthly billing KPI scorecard, connected account risk dashboard and subscription metrics reconciliation between billing platform and revenue reporting systems. Use AI-assisted anomaly detection to automate monitoring and generate exception-based reporting.
    Deliver clean billing data for monthly close deadlines alongside Controlling. Automate reconciliation workflows to ensure accuracy and speed.
  • Own the agency commission billing cycle: gross-to-net reconciliation, commission payout verification, leakage identification and margin reporting.
  • Provide backup coverage across all billing operations during team absences, including subscription configuration, invoice generation and billing adjustments in Stripe. Ensure continuity of day-to-day operations at all times.
  • Serve as the primary billing and payments contact for Sales, Customer Success, Customer Care, Onboarding and Product. Define escalation paths, manage billing support channels and coordinate with Product on payment system issues and enhancements. Manage the day-to-day relationship with payment platform providers, including support escalations and feature requests.

Qualifications

  • 2-4 years of experience in billing operations or payment operations in a SaaS or technology company.
  • Hands-on experience with Stripe (Billing, invoicing, dunning configuration) or a comparable payment platform (Adyen, Braintree, GoCardless, Chargebee).
  • Experience with payment platforms in a marketplace or platform business model (connected accounts, payment splits, dispute management) is a strong plus.
  • SQL proficiency or strong willingness to learn quickly - you will run monitoring queries and work with transaction-level data.
  • Strong analytical skills: comfortable with Excel/Google Sheets (pivot tables, VLOOKUP, data cleaning) and working with large datasets.
  • Process design mindset: you have built an SOP, a workflow or a control from scratch before - not just followed one.
  • Understanding of subscription billing concepts: MRR, proration, deferred revenue, dunning, churn, aging.
  • Good communication skills in English (written and spoken). French, Spanish, Italian or Portuguese is a plus.
  • Autonomous and structured: comfortable working with minimal supervision and building in a greenfield environment.
  • Automation-first mindset: you default to configuring Stripe rules, building alerts, and scripting reports rather than doing everything manually.
