Fitness Manager (Contract)

Your role at Xevera:

Xevera operates company gyms, sports clubs, and fitness initiatives to inspire and empower employees to lead healthier, more active lifestyles. We are looking for an experienced Fitness Manager to oversee gym operations, manage sports clubs, and deliver engaging sports projects that strengthen our internal community.

This is a contractor role, ideal for someone with a strong background in fitness and sports management, combined with solid project management and stakeholder engagement skills. It’s a full time position but if needed the role can be flexible in terms of working hours.

Your role at Xevera:

As Fitness Manager, you will be responsible for the end-to-end management of the company gym and employee sports clubs in the Malaysia office. You will work closely with the Community Project Manager to plan, deliver, and continuously improve sports programmes and events.

Your work will directly contribute to employee wellbeing, cross-team connection, and a positive, inclusive and diverse workplace culture.

The role promotes a holistic approach to health, offering diverse fitness options that cater to employees of different nationalities, ages, fitness levels, and interests, while aligning with Xevera company culture principles.

Key responsibilities:

Gym Operations

  • Manage day-to-day gym operations, including class scheduling, programming, and utilisation planning
  • Coordinate and manage third-party trainers and gym service providers
  • Maintain gym equipment and facilities, liaising with internal Admin teams and external vendors
  • Ensure full compliance with health, safety, and hygiene regulations
  • Promote a strong culture of safety, injury prevention, and proper equipment usage
  • Maintain an active on-site presence and act as the first point of contact for employees and vendors - with a specific focus on getting more of our employees to start training
  • Deliver group classes and/or personal training sessions, subject to qualifications and expertise
  • Provide professional guidance to employees on safe and effective training practices

Sports Clubs and Events

  • Oversee and support employee sports clubs (planning, budgeting, supervision, and engagement)
  • Plan, manage, and execute sports projects and events together with the Community Project Manager, for example, initiatives such as:
    • Annual employee sports days
    • Internal tournaments
    • External races and competitions
    • Hiking or fitness challenges
  • Coordinate with internal teams and external event vendors to ensure smooth execution
  • Attend and support key events on-site, including also outside normal office hours when required

Community Engagement and Communication

  • Drive employee participation and engagement in sports and fitness initiatives
  • Collaborate with internal communications and employer branding teams to promote sport activities
  • Research, evaluate, and negotiate with local vendors and partners
  • Continuously assess gym operations and sports initiatives based on feedback from users, and propose improvements accordingly
  • Support the implementation and optimisation of booking, scheduling, and tracking systems with the gym service provider

What makes you a great fit:

  • Minimum five years’ experience as a Sports Manager, Gym Manager, or similar role
  • Personal Trainer certification
  • Proven ability to manage fitness operations in a corporate environment
  • Strong leadership, communication, and stakeholder management skills
  • Passion for sport, health, and wellbeing
  • Strong organisational and project management capabilities
  • Alignment with company values and culture
  • Fluent in English, with the ability to teach and communicate professionally
  • Ability to invoice services to a Malaysian entity as a contractor (limited external commitments can be allowed)
  • Good knowledge and experience of health and safety regulations in a gym setting

Nice to have

  • Graduate or undergraduate degree in Sport Science, Fitness, or Business Administration
  • CPR and First Aid certification
  • International or multicultural work experience
