We are looking for a Strategic Executive Assistant to the Managing Director (f/m/d)  to join us at the earliest possible date.

The Strategic Executive Assistant to the MD is the trusted right hand to the MD, providing a unique blend of operational excellence and strategic project coordination. This person ensures that the MD’s time, communication, and priorities are managed effectively,  spanning both the personal and professional domains. The role is designed for someone who thrives at the intersection of organization and strategy, enjoys driving execution across teams, and takes pride in creating structure and clarity.

YOUR MISSION

MD Support & Enablement

  • Manage the MD’s calendar, email, and priorities, ensuring alignment with company and personal goals.
  • Prepare and coordinate meetings, travel, and documentation, including agendas, materials, and follow-ups.
  • Handle personal administrative tasks such as:
  • Coordinating appointments, travel, and private commitments.
  • Managing and organizing personal documents (e.g., tax declarations, insurance, or property administration).
  • Handle confidential asset-related matters within a private investment context.
  • Draft, review, and proofread written communications and presentations on behalf of the MD.
  • Serve as the gatekeeper and facilitator,  ensuring smooth communication between the MD and the rest of the organization.

Strategic & Cross-Functional Project Management

  • Coordinate and track progress of strategic initiatives across teams, ensuring timely execution and follow-through.
  • Examples include starting new business opportunities, raising additional capital, launching new cities, implementing new operational playbooks and managing the M&A pipeline.
  • Partner with the MD to define and drive project plans, milestones, and responsibilities across departments.
  • Support the MD in preparing for executive meetings, board sessions, and company-wide OKR reviews.
  • Conduct research and prepare briefings, presentations, and reports to support strategic decision-making.
  • Identify operational gaps, anticipate risks, and proactively suggest improvements to workflows and internal communication.
  • Foster collaboration between leadership team members and ensure strategic priorities are well-coordinated across functions.

YOUR PROFILE

Must-Have Qualifications

  • 4–8 years of experience in executive support, consulting, or project management roles.
  • Proven ability to manage complex projects and coordinate multiple stakeholders independently.
  • Excellent organizational and communication skills, with attention to detail and proactive problem-solving.
  • Strong sense of discretion, trustworthiness, and ability to handle confidential information (business and personal).
  • Ability to shift seamlessly between strategic thinking and hands-on execution.
  • Financial and analytical acumen with experience in finance roles.
  • Fluent in German and English (written and spoken).

Preferred Qualifications

  • Prior experience in a startup or fast-paced environment.
  • Background in business operations, chief of staff, or management consulting.
  • Understanding of scaling processes in a 100–200 employee organization.
  • Interest in the housing or proptech sector.
