Office Manager
Why Valtech? We’re the experience innovation company - a trusted partner to the world’s most recognized brands. To our people we offer growth opportunities, a values-driven culture, international careers and the chance to shape the future of experience.
The opportunity
At Valtech, you’ll find an environment designed for continuous learning, meaningful impact, and professional growth. Whether you're pioneering new digital solutions, challenging conventional thinking or building the next generation of customer experiences, your work will help transform industries.
We are proud of:
- The work we do and the innovation we drive
- Our values of share, care and dare
- A workplace culture that fosters creativity, diversity and autonomy
- Our borderless, global framework, which enables seamless collaboration
The role
Step into our office, two powerhouses under the same roof.
On one side, Valtech Sverige, a global digital transformation agency working with some of the biggest brands in tech and business. On the other, Valtech RADON, a multi-award-winning creative studio known for some of our times, boldest ideas and creative campaigns.
Different crafts, same house, and we're looking for someone who thrives in the middle of it all.
We're looking for an Office Manager to be the beating heart of our workplace. You’ll be responsible for the overall day-to-day operation of the office and ensuring a well-functioning, welcoming and professional workplace for employees and visitors.
This is a broad, hands-on role where one moment you're planning the next big company event, the next you're troubleshooting a supplier invoice, welcoming a new hire, or making sure the coffee machine is running before the morning rush. A heads-up: your first project will have you playing an active part in our upcoming office move - a great way to jump right in and help shape the workplace from the very start.
You'll be the go-to person for anything office-related - trusted by employees, leadership, P&C, Finance, IT and external suppliers alike to get things done, from start to finish.
Role responsibilities
As Office Manager what you'll do is:
- Office Operations: Own the day-to-day - a clean, organized, functional and welcoming office, from mail and deliveries to visitors, supplies and desk setup.
- Facilities & Expansion: Keep the office running smoothly - repairs, maintenance, suppliers, access systems, and support our upcoming office move.
- Events & Culture: Plan and run company events - AWs, summer parties, Christmas parties and other internal and external events - from venues and catering to logistics and setup.
- Finance & Administration: Manage office-related invoices and cost and support budget follow-up together with Finance.
- Food & Daily Experience: Prepare and setup breakfast and fika every day, keep the kitchen stocked and clean, and make sure snacks, coffee and drinks never run out. Coordinate catering and food arrangement for internal and external meetings and events.
- P&C support: Support onboarding and offboarding in collaboration with P&C and managers. Help colleagues feel welcome from day one. Create a warm and thoughtful employee experience, be flexible, approachable and responsive to employees' practical needs, with a strong focus on making people feel welcomed, valued and supported.
- IT, Phones & Access: Coordinate company phones, subscriptions, badges and access - working closely with IT and relevant stakeholders to solve practical issues as they come up.
Who we’re looking for
The role combines structured, recurring responsibilities with a wide range of operational and ad-hoc tasks.
We’re after someone who:
- Is service minded and extrovert
- Thrives when things are tidy and well-organized
- Brings a positive “we’ll fix it” / can-do attitude
- Takes ownership of tasks and follows them through to completion, working proactively without always being asked.
- Is comfortable managing multiple priorities and switching between hands-on and administrative work throughout the day.
- Coordinates effectively with employees, leadership, P&C, Finance, IT and external suppliers.
- Solve practical problems quickly and independently, with a high level of service and attention to detail.
- Is creative and resourceful - good at finding smart solutions
- Lives our values - Share, Dare and Care – and acts as a genuine ambassador for our culture. The kind of person who gives colleagues a little FOMO for missing a day in the office.
- Is fluent in both Swedish and English, spoken and written.
Experience
This roles suits someone who brings 1-3 years experience with a background in hotel, restaurant, or hospitality, or prior experience as an Office Manager in a fast-moving environment. What matters most in a genuine passion for service and for creating great experiences for the people around you.
If you do not meet all the listed qualifications or have gaps in your experience, we still encourage you to apply. At Valtech, we recognize that talent comes in many forms, and we value diverse perspectives and a willingness to learn.
Commitment to reaching all kinds of people
We design experiences that work for all kinds of people - and that starts with our own teams.
