About the Role
We are looking for a highly organized, proactive, and discreet Executive Assistant to support our CEO. In this role, you will take full ownership of day-to-day logistics, scheduling, and administrative responsibilities, both business and personal (when needed), to help the CEO stay focused on key priorities. You’ll become a trusted partner and an integral part of the core operations of a fast-moving AI startup.
You’re detail-oriented, calm under pressure, and thrive in a fast-paced, ever-changing environment. No task is too big or too small, and you know how to bring structure, clarity, and follow-through to everything you do.
What You’ll Do:
- Provide ongoing business and personal support to the CEO across daily operations, meetings, logistics, and follow-ups
- Manage a dynamic and frequently changing calendar (business and personal when needed)
- Schedule and oversee meetings, including logistics, agendas, and follow-ups
- Coordinate complex travel plans, including flights, accommodations, and itineraries
- Handle sensitive communications and documents with absolute confidentiality
- Prepare presentations, reports, and materials on behalf of the CEO
- Participate in meetings or calls, write summaries, track action items, and ensure execution
- Serve as a point of contact for executives, investors, and external stakeholders
- Coordinate board meetings, executive team sessions, and CEO-hosted events
- Assist with personal logistics and errands as needed (appointments, household coordination, etc.)
- Anticipate needs, proactively solve problems, and maintain order amid ambiguity
Requirements:
- Minimum 3 years of experience as a Personal Assistant or Executive Assistant to senior leadership
- Previous experience in a startup or tech environment
- Full professional fluency in both Hebrew and English - spoken and written
- Exceptional organizational and time management skills
- Able to handle multiple tasks and shifting priorities with calm and precision
- Strong communication skills and high level of discretion and integrity
- Comfortable with occasional availability outside of regular working hours
- Independent, trustworthy, and solutions-oriented with high attention to detail
- Proficient in managing calendars, documents, and digital tools (Google Workspace or equivalent)
- Comfortable working independently in a fast-paced environment with shifting priorities and high expectations for execution.
