Medication Journey Coordinator - 12 Month FTC

As the Medication Journey Coordinator at The Owl, you will play a key role in supporting the safe and smooth delivery of our ADHD Medication Service. You will help guide clients through every stage of their journey; from referral and starting medication, through titration and stabilisation, to annual reviews and shared care. 

You will be focused on making sure each clients feels supported, informed, and valued at every step. You will keep everything running smoothly behind the scenes, ensuring communication is clear and timely, and that clients have a positive experience throughout their medication journey. 

You will work closely with clinicians, GP practices, pharmacies and other partners, acting as a key point of contact to keep everything coordinated and on track. Alongside this, you will make sure processes are followed safely and in line with clinical standards and The Owl’s values. 

 

*Please note this position will be based in our office 4 days a week during training, once competent, a hybrid model (2 days in the office)*

 

What you'll be doing:

  • Coordinate the ADHD medication pathways by helping clients move smoothly through each stage - allocating clients to clinicians, booking titration appointments, and keeping track of progress to stay on time. 
  • Support shared care arrangements by working closely with GP practices, keeping documentation up to date, and making sure everything is in place for safe and consistent prescribing. 
  • Manage busy inboxes by responding to messages in a supportive and timely way to keep things moving and make sure clients feel supported with each query. 
  • Triage any clinical or operational query by spotting anything urgent or concerning and making sure it’s passed to the right clinician quickly. 
  • Support private referrals by handling enquiries, booking appointments, and making sure all the right information is in place for a smooth start to care. 
  • Follow clear processes and guidelines (like SOPs, GDPR, and safeguarding) by helping to keep the service safe, compliant, and running as it should. 
  • Keep an eye out for any delays or risks in the pathway, raising these early so they can be addressed and client care stays on track. 
  • Check clinical letters and updates before they are released, making sure everything is accurate, clear, and ready to support safe prescribing. 

 

We'd love it if;

  • Experience working in healthcare operations or client coordination and be comfortable managing busy inboxes and client pathways. Ideally, you’ll have worked in ADHD, mental health, neurodevelopmental, or medication-focused services. 
  • A clear and confident communicator, who’s able to build positive relationships with clients and colleagues. You will be just as comfortable working on your own as you are as part of a team, and able to remain calm and professional even when things get busy. 
  • You will be organised and able to prioritise your workload, with good attention to detail. 
  • Experience in using IT systems and can confidently operate Microsoft packages.
