THE ROLE.

We’re looking for a highly capable and proactive Executive Assistant (experienced EA) to provide high‑level support to our Chief(s) and senior leaders. This role plays a critical part in enabling the smooth running of executive operations, ensuring our leaders can focus on what matters most in a complex, fast-moving environment.

Operating with significant autonomy and discretion, you’ll confidently navigate sensitive matters, anticipate needs before they arise, and apply sound judgement in resolving issues. You’ll be working across senior stakeholders, managing ambiguity, and creating calm and clarity in a dynamic setting.

WHAT YOU'LL BE DOING.

Advanced Executive Support

  • Provide high‑level support to designated D/GM or Chief(s), managing complex diaries and resolving scheduling conflicts to protect priorities.
  • Oversee intricate travel arrangements, creating contingencies and adjusting plans in real time when needed.
  • Manage executive inboxes with discretion — anticipating issues, drafting sensitive communications, and identifying what requires escalation.
  • Lead end‑to‑end preparation for high‑impact meetings, ensuring clarity of objectives, delivery of required materials, and timely follow‑up.

Operational Excellence

  • Own the operational delivery of complex events and executive activities, identifying risks and resolving issues independently.
  • Exercise delegated authority in areas such as approving expenses and purchase orders, using judgement in time‑critical situations.
  • Act as a trusted operational proxy for senior leaders, handling sensitive matters and making sound decisions on their behalf.

Stakeholder & Communication Management

  • Manage interactions with senior stakeholders, anticipating concerns and ensuring communications are handled appropriately.
  • Establish and maintain efficient executive ways of working, identifying challenges and implementing practical improvements.
  • Maintain accurate records, documentation, and processes with a focus on continuity and risk management.

Team Contribution

  • Provide broader administrative support as needed.
  • Contribute to shared EA team coverage and collaborate across the wider business.

WHAT WE'RE LOOKING FOR.

Essential Skills & Experience

  • 3+ years’ experience as an Executive Assistant supporting senior leaders.
  • Exceptional verbal and written communication skills, with the ability to adapt tone and messaging for different audiences.
  • Proven capability in complex diary management across multiple locations and time zones.
  • Highly proactive, with strong forward‑planning and the ability to work autonomously.
  • Experience managing multiple critical demands in fast‑moving environments.
  • Outstanding attention to detail and time‑management skills.
  • Proven ability to handle large volumes of confidential or sensitive information, with strong awareness of GDPR.
  • Advanced proficiency in Microsoft Office Suite and comfort with learning new tools and systems.

This is a hybrid role and would require the successful candidate to attend at least 3 days a week at our HQ in Solihull.
