People Operations Executive - 12m FTC

OVERVIEW:

This role is all about helping to support, coordinate, and improve the way we handle people admin processes here at Gymshark.

You’ll be providing hands-on administrative support across the entire employee lifecycle, making sure everything runs smoothly and accurately at every stage.

If you’re someone who’s detail-oriented and genuinely enjoys supporting others, you’ll thrive in this role. You’ll also be the first point of contact for any People-related queries that come through the inbox, helping to triage and direct them as needed.

You’ll be working closely with both the People Operations team and the wider People team, playing an active part in our journey towards more consistent and aligned people processes across the business. This is a 12m FTC.

WHAT YOU'LL BE DOING:

You'll be a key point of contact for new hires, handling contracts, right to work checks, and pre-boarding questions. You'll lead core HR processes, manage accurate and compliant people data, and ensure all right to work procedures are followed.

Collaboration is key, working closely with teams like People Partnering, Talent Acquisition, Reward, Payroll, and Systems to meet Gymshark’s goals. You’ll handle people-related inquiries, respond within SLAs, escalate when needed, and work with third-party providers.

You'll also create reports, process people-related invoices, support with team training, and step in across People Operations during busy times or store openings.

  • Accurate data recording and reporting ensuring compliance with GDPR legislation.  
  • Optimising and improving people operations processes so that Gymshark offer an excellent employee experience that is accurate, has less handoffs, optimises automation and is efficient.  
  • You will support the team documenting people processes and creating standard templates ensuring alignment across People Operations processes where necessary.  
  • You will look at ways to improve People team processes and utilise new technology (for example Spoke) to support people administration tasks.  
  • Taking part in HR projects such as new system implementations or employee engagement initiatives.   
  • You are a trusted member of the team, providing a timely and accurate response to any employee related queries 
  • You will be responsible for reporting on People data, updating any trackers and reviewing People metrics on a monthly basis.  
  • Ensure legal compliance within our employee files  

WHAT YOU'LL NEED:

Essential Criteria:

  • Working towards an HR qualification or have previous experience working within an HR department.  
  • Strong communication skills with a willingness to develop them further through regular contact with the wider People team, the Retail team and any other external contacts. 
  • Experience handling large volumes of confidential personal data with awareness of GDPR compliance. 
  • An awareness of employment legislation and practices, with an eagerness to keeping this knowledge up to date 
  • Self-motivated with demonstratable skills in time management, prioritisation with a focus on data accuracy.  
  • A creative problem solver with a curious mindset, proactively seeking improvements and efficiencies in processes  
  • Adaptable to change and pragmatic, comfortable working in a high pressure and fast paced environment, with minimal supervision.  
  • Ms Office: highly proficient in the use of Ms Word, Ms Excel, and PowerPoint  

 

Preferred Qualities:  

  • Experience using a HR Information System.

 This is a hybrid role and would require the successful candidate to attend at least 3 days a week in GSHQ, Solihull, UK.
