We are looking for a highly organized and proactive Office Coordinator to support the day-to-day operations of our Madrid office. This role is ideal for someone with strong attention to detail, great communication skills in both English and Spanish, and a hands-on, can-do attitude.
This is a fully in-office role, focused on ensuring a smooth, efficient, and welcoming workplace experience for the team.

What you will be doing :
  • Support the smooth day-to-day running of the office, ensuring a clean, organized, and efficient environment
  • Act as the first point of contact at reception, welcoming visitors, handling incoming calls, and managing general inquiries
  • Manage meeting room bookings and ensure rooms are set up and ready for use
  • Handle incoming and outgoing mail, deliveries, and courier services
  • Act as a key point of contact for building management, vendors, suppliers, and service providers
  • Order and maintain office supplies, ensuring appropriate stock levels
  • Support workplace operations (e.g. food, snacks, office services) to ensure a seamless employee experience
  • Ensure adherence to health and safety guidelines and company policies
  • Provide general administrative and organizational support to improve team efficiency
  • Collaborate with cross-functional teams (e.g. HR, Operations) on workplace initiatives and processes
  • Support the coordination of internal events such as team gatherings and office activities


We’re looking for someone who :
  • Has proven experience (ideally 2–4 years) in an administrative, office coordination, or similar role
  • Is fluent in English and Spanish (written and spoken)
  • Has strong organizational and time management skills, with the ability to prioritize tasks
  • Has good communication and interpersonal skills, comfortable working with different stakeholders
  • Has a proactive, hands-on approach and willingness to learn
  • Is able to work both independently and as part of a team
  • Has strong attention to detail and reliability
  • Has a positive attitude and interest in creating a great workplace experience
