International Payroll & HR Operations Specialist

As Payroll & HR Operations Specialist, you will act as the subject matter expert for Belgian payroll while supporting and coordinating international payroll operations across multiple countries. You will ensure accurate, compliant, and timely payroll delivery while contributing to standardisation, optimisation, and automation initiatives across the HR function.
This role combines hands-on Belgian payroll expertise with international coordination responsibilities in a matrix environment.
Key Responsibilities
Belgian Payroll Ownership
- Act as the payroll subject matter expert for Belgium (blue- and white-collar employees)
- Manage end-to-end Belgian payroll processes, including time registration via Protime
- Ensure accurate payroll inputs, validations, and monthly payroll cycle execution
- Manage Belgian social documents and provide guidance on local payroll and social legislation
- Coordinate and manage employee benefits (insurances, Flex Income Plan) with internal stakeholders and external providers
- Support audits, year-end processes, and statutory reporting
International Payroll Coordination
- Manage and support international payroll operations in collaboration with local payroll providers
- Coordinate payroll inputs, changes, and validations across multiple countries
- Ensure accuracy, compliance, and timely delivery of monthly payroll cycles
- Act as point of contact between internal HR teams and external payroll vendors
HR Operations & Administration
- Ensure accurate HR data management in HRIS (SAP SuccessFactors / Workday), safeguarding payroll readiness
- Draft and manage employee lifecycle documentation (contracts, amendments, certificates, leaver documents, etc.)
- Act as first point of contact for payroll- and HR-related employee queries
- Coordinate with HR specialists and local providers as required
Continuous Improvement & Projects
- Contribute to payroll optimisation, standardisation, and automation initiatives
- Support HR projects aligned with business growth and international expansion
- Identify opportunities to improve payroll controls, efficiency, and reporting
Profile & Experience
You will thrive in this role if you:
- Have proven hands-on experience managing Belgian payroll
- Have experience supporting international payroll across multiple countries (e.g. Belgium, Netherlands, UK, Italy)
- Possess strong knowledge of Belgian payroll and social legislation (experience with PC 200, 302, 217 preferred)
- Have experience with Protime (required)
- Have solid HR Operations / HR Administration experience
- Are comfortable operating in an international matrix organisation
- Have experience with SAP SuccessFactors and/or Workday (strong advantage)
- Are fluent in Dutch and English (additional languages are a plus)
- Work independently, manage competing priorities, and apply sound judgement
- Are analytical, detail-oriented, and solution-focused
- Bring a continuous improvement mindset, with interest in payroll standardisation and automation
