Office Manager

We're looking for someone who:
- Proven experience as a Office Manager or similar role.
- Excellent communication and interpersonal skills.
- Proficiency in English (written and spoken) is mandatory.
- Ability to strategize and solve problems effectively.
- Experience working in offices and workplace experience for a hybrid workforce, delivering creative solutions to engage a distributed workforce.
- Data-driven with a mindset of continual improvement.
- Demonstrated success in building strong relationships cross-functionally.
- A strong communicator, keeping teams and stakeholders informed and up to date.
- Passion for best-in-class workplace experience and customer service.
What you'll be doing:
- Act as workplace site operations lead and run workplace programs to ensure a seamless day-to-day experience (e.g. food, snacks, mail & packages, parking slots etc.).
- Collaborate with others to implement initiatives, processes, tools, policies and playbooks related to workplace operations and programs.
- Proactively build relationships with leadership and employees, working with manager and director to use data to understand the habits/needs of Warsaw employees.
- Support vendor management, including procurement of office supplies, food and beverages, scheduling repairs as necessary, and helping ensure we have best-in-class suppliers with a focus on diversity and inclusion.
- Collaborate with the external cleaning agency to ensure high hygiene standards and a pleasant working environment.
- Serve as the primary point of contact for Warsaw building management.
- Support budget tracking for the Warsaw office.
- Work with the HR team to coordinate internal events including office parties, company all-hands, and industry meetups.
- Collaborate with finance department-registration of invoices, creation of purchase orders.
- Coordination of document workflow
- Responsible for coordinating the signing process of contracts
- Management of hotel contract signing within the assigned location
- Organize domestic business trips, including hotel bookings and ticket purchases
- Registration of incoming and outgoing mail.
- Personal mail delivery on Post Office
- Cooperation with courier companies
The stated pay range represents the gross annual amount. The final offer will be determined based on the candidate’s experience and competencies.

86 985 zł - 108 730 zł PLN
