We're looking for someone with: 

  • 3+ years of experience as an Executive Assistant, preferably supporting C-level executives.
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficient in the calendar, travel management, and other tools (e.g., Outlook, TravelPerk, Notion, Slack).
  • Adept at managing competing priorities and deadlines.
  • Solutions-oriented with a proactive approach to problem-solving.
  • High emotional intelligence and adaptability.
  • Collaborative and team-oriented, with a keen understanding of shared goals.
  • Discretion and trustworthiness in handling confidential matters.
  • A positive, can-do attitude that thrives in a dynamic environment.

What you'll be doing? Responsibilities.

  • Calendar Management: Efficiently manage complex, high-volume calendars, balancing individual and joint priorities. Anticipate scheduling conflicts and proactively propose solutions.
  • Travel Coordination: Plan and coordinate frequent domestic and international travel, ensuring seamless itineraries for both executives, who often travel together. Handle logistics, accommodations, and on-the-ground support when needed.
  • Meeting Preparation: Prepare agendas, materials, and detailed briefs for meetings. Take notes, track action items, and ensure timely follow-up.
  • Communication Liaison: Act as a gatekeeper and point of contact between the executives and their teams, partners, and external stakeholders. Filter and prioritize communications, ensuring responses align with priorities.
  • Project Support: Assist with special projects and initiatives, often requiring cross-functional collaboration. Provide administrative and logistical support to ensure timely execution.
  • Operational Efficiency: Identify and implement process improvements to streamline workflows and enhance productivity for both executives.
  • Confidentiality: Handle sensitive information with utmost discretion and professionalism.
