About the Role

 

We are looking for a General Affair and Engagement Associate to undertake a variety of day-to-day office tasks and engagement execution. You will be an integral part in ensuring that our office operations run smoothly and are successful in supporting other business activities.

An excellent office coordinator is, above all, an organized and competent professional with phenomenal communication skills. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed.

The goal is to ensure that office operations are efficient and add maximum value to the organization.

What You Will Do

  • Serves as point person for employees or guests visiting the office and greets guests upon arrival.
  • Liaison for administrative vendors including but not limited to security, parking, cleaning, catering, and technology.
  • Support other teams with various administrative tasks(process CEO/ director document signing,
  • Tracks office related expenses, food, and office supplies; processes expense reports that are related to office admin and general affairs.
  • Supports meeting preparation, including allocating appropriate time slots and setting up conference equipments.
  • Provides travel coordination for the company and employees.
  • Organizes office engagement events including but not limited to luncheons, volunteer events, holiday parties, and office off-sites.
  • Be the person in charge for building projects, renovations and/ or handling office moves; inventory and assets management.

What We Are Looking For

  • Undergraduate degree preferred.
  • 1-2 years of office coordination experience.
  • Proficient skills using G-Suite and MS Office.
  • Demonstrated administrative skills.
  • Attention to detail with an emphasis on accuracy.
  • Ability to communicate effectively, orally and in writing.
  • Ability to multi-task, prioritise, adapt to changing environments.
  • Initiative, drive and enthusiasm.
  • Good planning and organisational skills.
  • Experience in coordinating travel is a plus.
  • Highly collaborative and team oriented.
  • Strong work ethic and cultural fit.
