People Operations Associate

This role supports the People Department in efficiently managing key administrative tasks across the employee lifecycle. Responsibilities include coordinating recruitment efforts, tracking probations, managing HR data in our systems, and ensuring compliance with employment regulations. The People Operations Associate also plays a crucial role in onboarding, event coordination, and employee well-being initiatives, contributing to an organised and smooth-running People team. This role is essential for maintaining data accuracy, process efficiency, and supporting the overall employee experience within the company.

Key responsibilities

  1. Recruitment Coordination: Assist with recruitment efforts by coordinating with external recruiters, managing recruitment pipelines, creating job postings in the ATS, and preparing offer letters and contracts. Act as the point of contact for candidate scheduling, communications, and recruitment hygiene. Ensure the timely progression of inbound and referral candidates and facilitate background checks. 
  2. Probation Tracking & Calibration: Monitor and manage the probation process by tracking upcoming reviews, setting up calibration channels, gathering feedback from stakeholders, and ensuring timely documentation for probation decisions.
  3. Onboarding Process Management: Oversee the onboarding process, ensuring the timely completion of tasks such as scheduling live sessions, creating onboarding channels, and assigning leave policies in the HRIS. Continuously update and improve the onboarding process as necessary.
  4. Employee Recordkeeping HRIS & ATS Management: Maintain accurate employee data within the HRIS and ATS, ensuring updates are made for new hires, job changes, salary adjustments, promotions, and terminations. Perform routine monthly updates for shift allowances and other time-based benefits and conduct periodic audits to ensure data accuracy and compliance.
  5. Payroll & Benefits Administration: Support the monthly payroll process by ensuring accurate employee data in the HRIS and verifying payroll inputs. Manage employee benefits administration, including enrollment, changes, and terminations for medical aid and other company-sponsored benefits.
  6. Background & Reference Checks: Manage the background check process, including employment, ID/passport, criminal, and credit checks for relevant roles. Collect reference feedback and share it with hiring managers. 
  7. Job Descriptions: Work with line managers to draft, review, and refine job descriptions to ensure they accurately reflect role requirements and company standards. 
  8. Compliance & Employment Equity: Maintain and update the Employment Equity workforce profile, coordinating meetings, ensuring compliance with regulations, and communicating with external partners. Monitor changes in employment legislation and recommend process adaptations as needed. 
  9. Employee Relations Support: Provide ad-hoc administrative support for the People team, such as drafting letters and contracts, handling data requests, and managing employee relations documentation.
  10. Office Management & Employee Wellness: Provide support on office management tasks and contribute to employee wellness initiatives. 



Requirements

  • Tertiary degree or qualification in HR or related field
  • 1-3 years of experience in People Operations and/or Recruitment.
  • Strong verbal and written communications
  • English language proficiency
  • Excellent organisational skills with the ability to manage time and prioritise multiple tasks
  • Computer literacy (experience with G-suite applications a plus)
  • Able to use discretion and handle highly sensitive information.
  • Knowledge of an HRIS or ATS system, including data sets, reporting and processes 

 

Nice to have

  • Experience building, maintaining and presenting HRIS data analytics 
  • Passionate about people and how they function together to create a valuable organisation 
  • An understanding of employment law
