THE ROLE
This role will provide proactive, mission-critical administrative support to the Americas corporate intelligence delivery team. Reporting to the Director of Americas Delivery, the successful candidate will play a key role in ensuring smooth onboarding, coordination, and fulfillment of client engagements, supporting departmental leaders, project managers, and researchers across both of our US offices. They will also contribute to our central corporate functions in the US and internationally – including operations, billing, compliance, and contracting – while delivering clerical support to sales and client relationship management, maintaining the efficiency of our business, helping to streamline, and providing supplementary logistical support as needed.
KEY RESPONSIBILITIES
Engagement Documentation & Client Onboarding
- Prepare and process engagement documentation — including Letters of Engagement (LOEs), non-disclosure agreements (NDAs), contracts, amendments, and related client paperwork — on behalf of case managers.
- Manage end-to-end client onboarding by receiving and organizing all required documentation, conflict checks, compliance forms, and system setup, ensuring delivery teams can hand off and begin new cases with minimal step-by-step involvement.
- Coordinate client-initiated onboarding of our firm by completing required vendor registration steps, assisting with submission of tax forms and credentials, and setting up payment portals or procurement platforms as needed.
- Liaise proactively with Legal, Compliance, and other internal functions to resolve process questions, secure approvals, and ensure documents are executed accurately and on time.
Subcontractor & Third-Party Onboarding
- Lead the full subcontractor onboarding process, including collecting due-diligence questionnaires, coordinating contract execution, arranging system or credential access, and ensuring accurate setup within internal platforms.
- Process onboarding for consultants and other third parties, ensuring all compliance, contractual, and administrative requirements are completed and properly filed.
Systems, Data, & Operational Tracking
- Upload proposals, case information, and other engagement details into CRM systems, project trackers, and internal databases; retrieve data to support client relationship management, analysis, and Sales activity as needed.
- Maintain clean, orderly, and current documentation across SharePoint, operational trackers, intranet resources, and project folders.
Finance & Billing Support
- Provide local support to the global Finance team by assisting with invoices, billing queries, payment follow-up, and coordination between Finance and the Americas delivery team.
- Manage shared credit cards, processing receipts and expense documentation, and maintaining related financial records.
Compliance & Licensing Support
- Assist the global Compliance function with maintaining relevant licenses and credentials, monitoring renewal timelines, and gathering information for client-driven compliance reviews or RFP processes.
- Support documentation required for regulatory filings, conflict checks, and internal risk procedures.
Operations Enablement and Process Improvement
- Train new joiners on operational processes, administrative workflows, and use of internal systems.
- Develop, maintain, and continuously improve a knowledge base of standard operating procedures, recurring client requirements, and administrative best practices.
- Manage subscriptions and third-party research tools, including user onboarding, troubleshooting, billing coordination, and renewal management.
- Provide occasional light office management support as needed.
Investigations Support
- Provide routine clerical support for investigations, such as collating document packets, submitting materials for translation, receiving digital forensics deliveries and maintaining chain-of-custody documentation, and managing other administrative aspects of client engagements.
We are a fast-paced consulting business, and our responsiveness and reactivity to clients and developing events is key to our success. As such, the successful candidate will be expected to provide occasional morning and evening support to the wider delivery team as required. This role is office-based, and the successful candidate will be expected to primarily work in-person in our Washington, DC office. Occasional exceptions may be granted, but in-person attendance may always be required on short notice. Periodic travel to our New York office will also be required.
WHAT WE’RE LOOKING FOR
We think candidates with the following skills and experience are likely to succeed in this role.
- Bachelor’s degree preferred, or equivalent professional experience;
- Minimum five years’ experience in a professional services, public service, or legal administration role;
- Strong proficiency in Microsoft 365, Adobe, and business systems such as Salesforce (or comparable platforms);
- Demonstrated ability to work independently and proactively, while coordinating effectively within a large, multi-office organization; and
- Excellent time management, organization, and communication skills.
Candidates must have permanent permission to work in the USA.

Salary's for this role will range from: $80,000- $90,000
