THE ROLE
The successful candidate for the Team Assistant role will be involved in support CI Directors with administrative tasks relating to diary management, travel, expenses and the management of client relationships.
We expect that the successful candidate will likely be involved with some or all of the following:
Diary Management
- Managing the calendars of CI Directors; creating complex daily itineraries, across multiple time zones whilst maintaining the preferences of individuals;
- Inclusive of room bookings
- Teams call set-up
- Coordinating all BU meetings – working with the Executive Assistant to the Board and colleagues across the business
- Ensuring documents are sent out in advance
- Making sure CI Directors are always in the right place at the right time
Travel
- Using the nominated agent to arrange complex and detailed international travel plans
- Supporting with visa applications where required
- Scheduling meetings with clients and prospects ahead of international trips, taking location and travel time into account
Financial
- Monthly processing of expenses for CI Directors
- Liaising with the Finance Team to organise payment of invoices, where relevant
General Support
- Take minutes in meetings and produce drafts in a timely manner
- Answering and screening phone calls when Directors are away from their desks
- Support with administrative tasks relating to client relationship management and S-RM sponsored events
The role will be based in our Cape Town office; however we have flexible working arrangements available.

The qualifications and experience required to perform this role successfully are:
- Extensive experience as a personal or team assistant, preferably within professional services at a multinational business working with senior managers or directors;
- A proven ability to work unsupervised and operate with a degree of autonomy;
- Extensive experience working with Microsoft Outlook and other Microsoft Office products;
- Experience using Salesforce (desirable but not necessary)
