THE ROLE
This role comprises managing a variety of responsibilities relating to the day-to-day operations of the Corporate Intelligence (‘CI’) team in Asia as well as coordinating office management in Kuala Lumpur. In this role, you will work closely with practitioners in Asia (Hong Kong, Singapore, and Kuala Lumpur) and other CI stakeholders in London, UK and Cape Town, South Africa.
This role will encompass completing administration and coordination tasks relating to client and case onboarding, client invoicing and supporting central functions, including Sales and Client Relationship Management, Learning and Development and Recruitment.
Typical activities and projects will include:
Office Management and Business Unit Assistance
- Undertaking office management responsibilities in Kuala Lumpur, covering day-to-day administration of office affairs, liaising as required with local service providers, landlords, and assisting management of bureaucratic procedures with local government bodies as necessary.
- Team PA duties including booking meetings for the BU, minute taking and diary management/PA duties to senior managers in Kuala Lumpur and Singapore.
- Coordinating with support staff in other BU’s to complete daily tasks including answering phones, collecting visitors and preparing meeting rooms.
- Helping with the new starter onboarding process, including liaising with IT and HR, as well as scheduling new starter induction programmes.
- Assisting wider operations team with ad hoc requests for the business unit
Casework and CRM Administration
- Assisting with onboarding of new clients and all related administration.
- Managing end to end processes for casework administration, including preparing any legal documents required and ensuring an authorised signatory signs the document.
- Working with the Business Development team and senior practitioners in Asia to maintain and manage information about clients, projects, and relationship management activities in our CRM platform.
Quality Management
- Conduct weekly audits and assist compliance and the Operations Manager in monthly audits to ensure that case opening, on-boarding and compliance internal processes are followed correctly.
- Providing data collation and monthly stats to business managers where necessary and compiling data for the quarterly board packs for Board Directors and the BU head.
Travel and Logistics
- Booking and amending flights, accommodation, taxis and vehicle hire via the company travel agent.
Subcontractor and Database Management
- Assisting with the on-boarding of external resources, and managing the administration associated such as preparing contracts (individuals and companies).
- Helping the wider team with database and subscription administration.
Financial Support
- Supporting the Operations Coordinator with monthly invoicing procedures.
- Complete the end of month invoicing processes in the absence of the Operations Coordinator.

- Experience working in a similar operational support role.

The successful candidate must have permission to work in the Kuala Lumpur by the start of their employment.

The role will be based in our Kuala Lumpur office. However, we have flexible working arrangements available.
