Position Overview:
As an Offboarding Specialist, you will manage employee offboarding cases across European markets, with a strong focus on involuntary terminations and complex employee exits.
You will guide clients through the offboarding process from initial request to resolution, coordinating documentation, timelines, local requirements, and internal stakeholders. You will often work on sensitive and time-critical cases, so success in this role requires excellent organization, proactive communication, sound judgment, and the ability to remain composed when managing challenging situations.
This is a 2-year fixed-term contractor position, with the potential to grow into a permanent FTE opportunity based on business needs and performance.
Key Responsibilities:
- Manage employee terminations and voluntary resignations end-to-end, ensuring cases progress accurately and within required timelines.
- Act as a primary point of contact for clients, providing clear, timely, and proactive guidance throughout the offboarding process.
- Conduct preliminary calls with clients to understand termination requests, explain next steps, identify potential risks, and manage expectations.
- Prepare, review, and coordinate termination letters, warning letters, separation documentation, and other required documents.
- Manage multiple active cases simultaneously while closely tracking deadlines, follow-ups, documentation, and outstanding actions.
- Coordinate with Legal, Payroll, Finance, HR, and other internal stakeholders to ensure accurate and compliant case resolution.
- Support complex and escalated cases, including employee disputes, disagreements regarding termination terms or compensation, and cases involving external legal counsel.
- Manage sensitive and challenging conversations with clients and employees with professionalism, empathy, and confidence.
- Proactively identify potential risks, blockers, or missing information and take action before they impact the offboarding timeline.
- Maintain accurate case records and ensure all required employee information and documentation is appropriately completed and archived.
- Support deposit refunds and other offboarding-related financial processes in coordination with Finance when applicable.
- Share knowledge and best practices with the wider team to continuously improve offboarding processes and the client and employee experience.
Qualifications:
- 2+ years of relevant experience in Offboarding, Employee Relations, HR Operations, Employee Lifecycle, or a similar role.
- Hands-on experience managing employee terminations and resignations; experience owning cases end-to-end is strongly preferred.
- Experience supporting employees across European markets and navigating different local employment requirements is highly desirable.
- Good understanding of termination processes, notice requirements, employee separation documentation, and general employment compliance principles.
- Experience managing multiple cases, tickets, or employee requests simultaneously in a deadline-driven environment.
- Strong organizational skills and attention to detail, with the ability to consistently track deadlines and follow-ups.
- Excellent written and verbal communication skills, with confidence working directly with clients and employees.
- Demonstrated ability to manage challenging conversations, escalations, and sensitive employee situations professionally.
- Strong customer focus and the ability to manage expectations when timelines, costs, or legal requirements differ from what a client initially expects.
- Proactive problem-solving mindset with the ability to anticipate questions, risks, and next steps.
- Comfortable collaborating with Legal and other cross-functional teams on complex cases.
- Experience within EOR, global employment, HR outsourcing, HR tech, or international HR operations is a plus.
- Bachelor's degree in Human Resources, Business Administration, or a related field is preferred but not required when equivalent practical experience is demonstrated.

- Handles sensitive employee situations with discretion and humanity while remaining objective and focused on the required process.
- Works effectively across Legal, Payroll, Finance, HR, and other teams to bring complex cases to resolution.
