About the role:

We seek a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to our Executive Director to Executive Director (Readdle GmbH/ Fluix) . The ideal candidate will be a strategic partner, anticipating needs, streamlining operations, and ensuring the efficient and effective management of the executive’s time and priorities. This role requires exceptional communication skills, a high level of discretion, and the ability to thrive in a fast-paced, dynamic environment.

What you will do:

  • Manage complex calendars, scheduling across time zones.
  • Handle email, prioritizing and drafting responses.
  • Coordinate travel, including flights, hotels, and logistics.
  • Prepare documents, presentations, and meeting materials.
  • Track project progress and ensure deadlines are met.
  • Plan events and offsite meetings.
  • Conduct research and prepare reports.
  • Manage expenses and budgets.
  • Identify process improvements.
  • Handle confidential information with discretion.

About you:

  • Excellent written and verbal communication (German & English fluency required, Ukrainian preferred).
  • Expert calendar and time management.
  • Proactive problem-solving and critical thinking.
