Facility and Logistics Specialist

We are looking for a Facility and Logistics Specialist (Prague) to join our team.
Your main responsibilities will be:

Manage corporate mobile accounts (O2, Vodafone), including number allocation, blocking, package upgrades, and resolving individual requests. Maintain direct communication with telecom providers to handle contract issues, expand service, and explore special offers;
- Organize and track equipment shipments across Europe and Ukraine via Restart system and third-party couriers. Handle TTN creation, courier scheduling, packaging, tracking, and communication with vendors and team members;
- Maintain accurate records of IT assets in Restart and Excel. Plan and support warehouse scaling (from 20–30 to 100+ units). Coordinate with potential on-site logistics support in Prague;
- Fully manage the Robin platform, ensuring correct setup and administration of workplace tools and assets;
- Coordinate pick-up and delivery of equipment for distributed teams. Communicate directly with employees via messengers, send tracking info, and confirm delivery stages;

Oversee New Post and other service providers. Confirm specifications, track costs, validate invoices, and generate delivery reports by asset;

Assist in preparing project budgets. Create and manage payment requests for coworking spaces, telecom providers, warehouses, couriers, etc.
Essential professional experience:
- 2+ years in facility coordination, logistics, or office operations;
- Experience working with Robin platform (mandatory);
- Strong knowledge of shipment processes across EU and/or Ukraine;
- Confident working with telecom vendors and managing corporate accounts;
- Solid administrative skills and experience with inventory tracking tools (Restart, Excel, etc.);
- Experience coordinating with couriers and external service providers;
- Attention to detail and strong organizational skills;
- Fluency in Ukrainian or Russian is required for this role;
- Excellent communication skills in English.
