Role Summary

The HR Operations Associate plays a pivotal role in delivering consistent and efficient HR processes across Permira’s European offices, with a focus on Madrid and London. This role is key in ensuring exceptional employee experiences through seamless onboarding, immigration support, employee lifecycle management, and HR systems coordination. It requires cross-functional collaboration with HR Business Partners, internal infrastructure teams (IT, Compliance, Finance), and Office Managers.

Key Responsibilities:

Onboarding & New Joiners

  • Own end-to-end onboarding for all employee types (permanent, intern, contractor).
  • Draft contracts (including partnership/dual agreements) in Spanish and English.
  • Manage HRIS (Sage/Permira People) data entry and onboarding workflows.
  • Coordinate background checks via Verifile and resolve any discrepancies.
  • Collaborate with managers on induction plans, tech setup, and Day 1 readiness.
  • Ensure compliance with right-to-work documentation and onboarding checklists.

Visa & Mobility Support

  • Lead operational execution for European employee transfers and relocations.
  • Serve as the liaison with immigration counsel and relocating employees.
  • Maintain accurate visa and sponsorship records in HRIS.
  • Track visa renewals, terminations, and compliance requirements.

Employee Lifecycle & HR Support

  • Respond to employment verifications, references, and benefits queries.
  • Support parental leave tracking and return-to-work processes.
  • Maintain documentation templates (contracts, memos, etc.).
  • Manage vendor relationships (e.g., background checks, Maven health platform).

Systems & Process Improvement

  • Keep HR systems updated (joiners/leavers, immigration, headcount).
  • Drive continuous process improvement and automation in HR operations.
  • Lead monthly Starters/Leavers meetings with business partners.
  • Support smaller European offices with HR operations and compliance.

Qualifications

  • Bachelor’s degree; 2–6 years in HR operations or related roles.
  • Strong experience with HRIS systems and data workflows.
  • Knowledge of UK/Spain visa and immigration practices preferred.
  • Fluent in English and Spanish, written and spoken.
