The Opportunity

We are seeking a proactive and highly organised Clinic Operations Associate to join our team. In this vital role, you will be responsible for managing key administrative processes for our autism and ADHD Assessment outcome report creation, and the smooth running of our outcome clinics where the assessment outcome is shared with families. These outcome reports are critical, as they provide families and the referring GP with the findings of our assessment, and form the basis of onward support of that child or young person.

This is an excellent opportunity for someone early in their operations or administrative career looking to develop their skills in a dynamic healthcare environment, and have a significant impact on both our team and the patients we serve. 

As you grow in the role, you may take on further responsibilities across the assessment pathway, including appointment allocation and service capacity management. Furthermore, with strong performance in the role, this person can be promoted to a Clinic Operations Manager role.

 

Responsibilities

  • Own our tracking systems for outcome report progress and outcome clinic capacity and booking. Refresh and rebuild these systems as needed.
  • Coordinate scheduling and administration for outcome clinics, including reacting to staff availability changes and reallocating appointments as needed, and sending timely communications to our assessors, GPs and families as needed.
  • Provide excellent customer care and communicate professionally and empathetically with patients, families, and colleagues. 
  • Escalate issues and support their quick resolution.
  • Be a go getter for all arising operational topics, ensuring continuous process improvement.
  • Maintain strict confidentiality and comply with data protection regulations in all aspects of patient and service data management.

 

What qualities will you bring to the role?

  • Highly organised, strong attention to detail, and able to manage multiple priorities.
  • Confident with spreadsheets and managing data.
  • Excellent communicator, both in writing and over the phone.
  • Enthusiastic, reliable, and eager to support the team.
  • Skilled at maintaining professionalism where frustration can arise (e.g. if clinic appointments move due to staff sickness) and resolving conflicts calmly.
  • Understand that flexibility is needed to meet changing service demands.

Ideally, you have a passion for healthcare and/or health tech and a drive to help meet the needs of patients and their families.

 

Qualifications and experience

Required:

  • 1–2 years experience in administrative, support or operations roles doing similar work to that described above.
  • Proficiency in Google Sheets and/or Microsoft Excel.
  • Strong written and verbal communication skills.
  • Demonstrated responsibility for managing a key business process or metric (e.g., clinic capacity management).

Desirable:

  • Experience in a healthcare or clinical setting.
  • Familiarity with appointment scheduling or capacity management.

Time commitment: Full time.

 

Location: Hybrid working, three days in the London office and two flexible for home or office. We consider flexible working requests if this is not possible for you.
