USA Operations Coordinator 

Job Description

The US Operations Coordinator has a key role in the planning and set up of our summer programs at our campuses in US Universities as well as supporting our leadership teams at each campus. Reporting to the US Operations Manager the job holder deals with a wide range of daily issues and queries, with fast response required as well as core compliance, planning and oversight requirements of the program preparation, staff recruitment and onboarding.

Duties and Responsibilities

Key responsibilities:

  • Update appropriate documents for campus and operational use and provide general administrative support to the US operations team.
  • Support the summer staff recruiting process. Provide support in finding leads for the pipeline, screening candidates and answering staff queries during the recruitment and onboarding process.
  • Support the US Operations Team in running timely supply chains within budgets, for all US procurement & transport provision.
  • Lead on contractor checking compliance process for 3rd parties (non employees).
  • Support the US airport coordinator with all airport preparation, coordination and running during the summer programmes.
  • Leading the process around weekly reporting from each campus with progress against the agreed plans.
  • Provide necessary on call support to campus staff while the summer programmes are running.

 Person Specification

  • Able to work autonomously and with deep attention to detail
  • Resilience under pressure in a dynamic environment
  • Ability to form productive relationships with a wide variety of venue conferencing staff and local service providers
  • Highly organised and IT literate
  • Able to stand up for consistent representation of the OR brand values in any scenario
  • Approachable and personable while maintaining a focus on consistent risk management and compliance.
  • Available to work flexible hours to correspond with USA timezone needs.

Desirable Requirements

  • Experience working with educators in a wide range of disciplines
  • Experience planning and executing events
  • Knowledge of the international education industry and how vacation courses operate.

Essential Experience

  • Successful track record in administration within a professional environment
  • Delivery achievements in event management, education, or customer services

Position Details

  • Hours: 40 hours per week 
  • Location: Mostly remote with trips to Campus and when required
  • Status: This is a fixed term role starting immediately and finishing at the end of July
  • Holiday Entitlement: 28 days of annual leave per year, inclusive of public and bank holidays
  • Reporting: USA Operations Manager
  • Salary: $40,000 per annum
