Job Description

This is an exciting opportunity for a highly organised and proactive individual to play a key role in the planning and delivery of Oxford Royale’s academic summer programmes across Oxford, Cambridge, and London.

The Operations Coordinator (Events & Programmes) is responsible for coordinating operational processes, supporting external contractor engagement, and delivering high-quality events and student experiences across multiple UK locations. This role combines detailed planning with hands-on delivery, ensuring programmes run smoothly from preparation through to on-site execution.

Duties and Responsibilities

Key responsibilities:

  • Support the sourcing, onboarding and compliance checking of activity providers and external contractors.
  • Support the communication of programme content to the wider Head Office and summer delivery teams by updating documentation, delivery instructions and timetables.
  • Provide hands-on support during the delivery of events and activities during the summer school, including logistics, scheduling, and on-site coordination.
  • Coordinate the setup of venues including resources, equipment, and spaces for academic and co-curricular activities.
  • Support the planning and delivery of key student events including arrivals and graduation, ensuring a smooth and high-quality experience.
  • Ensure all activities meet operational, safety, and compliance requirements.
  • Triage inbound communications from summer delivery teams, including escalating issues promptly.
  • Provide support to the wider Operations team throughout the planning cycle and during the delivery of the summer school as required.

Person specification

This job would suit someone who displays the following key attributes:

  • Exceptional organisational skills with the ability to manage multiple workstreams and priorities simultaneously
  • Strong attention to detail and ability to deliver work accurately under pressure
  • Proactive and solutions-focused, with the confidence to take ownership of tasks and resolve issues
  • Excellent interpersonal and stakeholder management skills
  • Strong written and verbal communication skills
  • Ability to work both independently and collaboratively in a fast-paced environment
  • IT proficiency, including Google Workspace.

Desirable experience:

  • Experience coordinating events, programmes, or operational logistics.
  • Experience working with external stakeholders (e.g. speakers, partners, or suppliers).
  • Experience working within the education industry or summer school programmes.
  • Experience of budget management and using purchase order systems.

Position details

  • Hours: 40 hours per week (flexibility required with working pattern including evenings and weekends)
  • Location: Based at our Oxford office, with hybrid working options available between April - May

Summer delivery: During programme delivery, this role transitions to a hands-on, site-based position across Oxford, Cambridge, and London. This includes evening and weekend work, supporting live events, troubleshooting operational challenges, and ensuring a high-quality student experience in a fast-paced environment.

  • Salary: £35k per annum
  • Role: ASAP start. Fixed-term until end August 2026.
  • Reports to: Operations Manager
