Job Description
We are seeking a highly organised and detail-oriented Operations Coordinator to support the planning and delivery of our summer school programmes across Oxford, Cambridge, and London.
This role sits at the heart of programme delivery, with responsibility for coordinating key operational systems, managing critical documentation, and ensuring compliance with college and internal requirements. You will play a central role in preparing for and supporting the smooth execution of a large-scale, multi-site summer programme.

Duties and Responsibilities
Key responsibilities:
- Provide administrative support for operations activities and processes.
- Lead the administration and coordination of specific projects and processes during the lead up to and delivery of the summer school, including completing contractual deadlines, compliance documentation reviews, and collating student feedback.
- Support the set up and sharing of key templates, folder structures, and documentation for use by summer team members.
- Triage inbound communications from summer delivery teams, escalating issues promptly.
- Provide support to the wider Operations team throughout the planning cycle and during the delivery of the summer school as required.
- Support the delivery of events and activities during the summer school, such as setting up venues for and supporting in person at events.

- Excellent attention to detail, particularly when working with data and documentation.
- Strong team player, with a flexible and adaptable approach to working in a dynamic, fast-paced environment.
- Highly proactive with the ability to follow own initiative and manage multiple priorities simultaneously.
- Able to work independently while also collaborating effectively with a wider team.
- Problem-solving skills, able to challenge self and others to create solutions and strive for improved ways of working.
- Excellent written and verbal communication skills.
- IT proficient, including Google Workspace.
Desirable experience:
- Experience coordinating administrative or operational processes.
- Experience working with operational systems, databases, or CRM platforms.
- Experience working within the education industry or summer school programmes.
- Experience of budget management and using purchase order systems.
Position details
- Hours: 40 hours per week (flexibility with evenings and weekends needed during summer delivery)
- Location: Based at our Oxford office, with hybrid working options during April - May 2026, onsite presence required from June onwards
Summer delivery: During the delivery of the summer schools, this role requires being on-the-ground at sites in Oxford, Cambridge and London, as well as supporting delivery of activities in evenings and weekends.
- Salary: £35,000 per annum
- Role: ASAP start. Fixed-term until end August 2026.
- Reports to: Operations Manager, Head of Programmes
