About the Role

We're seeking a dependable, hands-on Office Manager for the Monarch Compute Campus, a behind-the-meter AI infrastructure platform under development in Mason County, West Virginia. Reporting to the Monarch Site Manager, this position is the operational heartbeat of the site office, ensuring the workspace is organized, well-stocked, professionally run, and ready to support a fast-growing team executing a project of national significance.

The Office Manager owns the day-to-day functioning of the Monarch site office. The role blends traditional office management (phones, supplies, vendors, visitors, mail, facilities) with on-the-ground operational support, including regular travel throughout the campus to capture photographic documentation of construction progress, run errands on behalf of the company, and assist site leadership with logistical needs. The successful candidate is resourceful, physically capable, comfortable assembling office furniture and lifting up to 50 pounds, and equally at home behind a desk or on an active construction campus.

What You'll be Doing (Responsibilities)

Office Management & Administration

  • Serve as the primary point of contact for the Monarch site office; answer and route incoming phone calls, greet visitors, and manage the front-desk experience.
  • Receive, sort, and distribute incoming mail and packages; coordinate outgoing shipments with carriers.
  • Order, restock, and maintain inventory of office supplies, breakroom supplies, printer consumables, and PPE needed for site visits.
  • Order, receive, and assemble office furniture and equipment as needed. The role requires the ability to lift up to 50 pounds and perform light assembly using basic hand tools.
  • Maintain organized digital and physical filing systems for records, correspondence, contracts, and documentation.
  • Prepare, update, and distribute routine reports, trackers, and administrative materials for site leadership.
  • Manage calendars, schedules, meeting coordination, and follow-up items for the Monarch Site Manager and supporting leadership.

Facilities, Vendors & Onboarding

  • Manage relationships with office vendors (janitorial, water, coffee, copier, IT support, building services), ensuring invoices are accurate, services are delivered, and issues are resolved.
  • Coordinate office maintenance, repairs, and minor facility improvements with building management and vendors.
  • Support new-hire onboarding by preparing workstations, ordering equipment, coordinating badge and access setup, and ensuring new employees have what they need on day one.
  • Manage visitor sign-in, site access coordination, and PPE issuance for office guests in partnership with site security.
  • Maintain awareness of external communications, public-facing channels, and relevant community activity that may affect site operations or reputation.
  • Coordinate travel, lodging, and ground transportation for visiting staff, partners, and contractors.

 

Budget & Expense Support

  • Track office spend against budget; reconcile company credit-card receipts and submit expense reports on time.
  • Process and route vendor invoices for approval in accordance with Nscale's procurement procedures.
  • Identify opportunities for cost savings on supplies, vendor contracts, and recurring services.

Confidentiality & Discretion

  • Handle sensitive business information (contracts, financial matters, partner communications, and personnel items) with professionalism, discretion, and confidentiality at all times.

About You (Skills / Qualifications)

Required

  • High school diploma or equivalent.
  • 3+ years of experience as an Office Manager, Office Coordinator, Administrative Assistant, or in a comparable administrative-operations role.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace (Docs, Sheets, Gmail, Drive, Calendar), with the ability to transition between platforms as required.
  • Strong written and verbal communication skills, with a professional phone manner.
  • Demonstrated ability to manage time, prioritize competing tasks, and maintain focus in a dynamic work environment.
  • Discretion and trustworthiness when handling sensitive or confidential information.
  • Valid driver's license, a reliable personal vehicle, and a clean driving record.
  • Comfort working in and around an active large-scale construction site (PPE will be provided).
  • Physical ability to lift and carry up to 50 pounds, assemble office furniture using basic hand tools, and move about an active campus environment.

Preferred

  • Prior experience in a construction, data center, industrial, or other site-based environment.
  • Experience supporting executives or senior site leadership.
  • Familiarity with vendor management, procurement, and basic accounts-payable processes.
  • Experience coordinating travel and corporate events for distributed teams.
  • Exposure to construction-industry software (e.g., Procore) or expense-management platforms (e.g., Concur, Expensify, Ramp).
  • Notary public certification or willingness to obtain one.
  • Familiarity with Mason County and the surrounding region (helpful for errands, vendor sourcing, and travel coordination).

The range below reflects the base salary for the position. Actual compensation may vary based on job-related factors such as skill set, experience, education, and location. In addition to base salary, this role may be eligible for bonus, equity, and/or commission programs. Nscale may offer a competitive benefits package including medical, dental, vision, flexible paid time off, parental leave, and retirement plan participation.

Salary Range

$70,000 - $80,000 USD
