Senior PMO Specialist

Hybrid Working - 2 to 3 days in our Warsaw office

Role Overview

The Senior PMO Specialist will support project operations, procurement coordination, and vendor management activities across the business. The role involves managing Purchase Orders (POs), coordinating with Finance and Procurement teams, supporting project governance processes, and handling communications with senior stakeholders. The successful candidate will play a key role in ensuring operational efficiency, compliance, and smooth delivery across multiple projects and vendors.

Responsibilities

  • Create, manage, and track Purchase Orders (POs) and related approvals
  • Coordinate vendor onboarding, setup, and documentation processes
  • Liaise with Finance, Procurement, and other business teams to support operational activities
  • Track budgets, invoices, accruals, and payment statuses
  • Support project governance, reporting, and status tracking activities
  • Prepare dashboards, reports, and executive updates for senior stakeholders
  • Maintain accurate procurement, financial, and project records
  • Monitor project timelines, risks, dependencies, and action items
  • Ensure compliance with internal procurement and governance processes
  • Coordinate stakeholder meetings, follow-ups, and escalation management
  • Support contract administration and vendor relationship management
  • Support cross-functional coordination to ensure timely delivery of operational and project activities
  • Assist with forecasting, budget tracking, and financial reconciliation activities
  • Ensure timely processing of vendor-related requests, approvals, and documentation
  • Maintain strong relationships with internal and external stakeholders to support business operations

Required Qualifications

  • Bachelor’s degree in Business Administration, Accounting, Finance, or a related field
  • Previous experience in PMO, project coordination, procurement, or operations support roles
  • Strong understanding of Purchase Order (PO) processes, vendor management, and project governance
  • Experience working with Finance and Procurement functions
  • Excellent stakeholder management and communication skills
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Proficiency in Microsoft Office tools, particularly Excel and PowerPoint
  • Experience with ERP, procurement, or project management systems is advantageous
  • Strong attention to detail and problem-solving capabilities
  • Ability to work independently in a fast-paced and cross-functional environment
  • Strong analytical and reporting skills with the ability to present information clearly to senior stakeholders
  • Proactive mindset with a continuous improvement approach to operational processes
