Executive Assistant

US - San Francisco

Location: San Francisco, onsite

Role Type: Full-time

Reports to: Chief Technology Officer (CTO), NEAR

About NEAR

NEAR is a leading decentralized, open-source ecosystem focused on building a user-owned and privacy-preserving future for Web3 and AI. The CTO oversees NEAR’s technical vision, engineering strategy, protocol development, research agenda, and cross-functional technical initiatives across the ecosystem.

We are looking for a highly organized, proactive, and discreet Executive Assistant (EA) who can operate at a global scale, support a fast-moving executive, and ensure seamless execution across calendar, communication, operations, and cross-team alignment.

This role is critical for enabling the CTO to focus on the highest-leverage priorities across engineering, research, protocol development, and ecosystem collaboration.

Role Overview

The Executive Assistant will provide comprehensive administrative, operational, and strategic support to the CTO. The ideal candidate is detail-oriented, excellent at structuring information, and thrives in an environment involving complex schedules, cross-functional collaboration, and evolving priorities.

You will act as a trusted partner to the CTO - anticipating needs, managing high-volume communications, enabling smooth decision-making, and ensuring follow-through across internal and external stakeholders.

Key Responsibilities

1. Executive Support & Calendar Management

  • Manage an international, rapidly changing calendar across multiple time zones.
  • Coordinate internal and external meetings, events, and technical reviews.
  • Prioritize scheduling based on strategic importance, dependencies, and deadlines.
  • Prepare daily briefs, agenda notes, and meeting materials.

2. Communication & Information Flow

  • Act as the primary administrative point of contact for the CTO.
  • Draft, organize, and filter communications across Slack, email, Telegram, and internal tools.
  • Ensure timely follow-ups and clear tracking of deliverables.
  • Support preparation of presentations, summaries, and documentation for engineering and product meetings.

3. Cross-Functional Coordination

  • Work closely with engineering, research, product, ecosystem, and operations teams to support the CTO’s initiatives.
  • Track action items, deadlines, and cross-team alignment after technical syncs.
  • Coordinate with external partners, foundations, and ecosystem teams when needed.

4. Travel, Logistics & Events

  • Organize and manage complex international travel itineraries (flights, hotels, visas).
  • Prepare detailed travel briefs, meeting packs, and event schedules.
  • Coordinate the CTO’s participation in conferences, speaking engagements, AMAs, and ecosystem events.

5. Operational & Administrative Support

  • Maintain documentation, reports, project trackers, and internal knowledge bases.
  • Help structure technical notes, meeting records, and follow-up actions.
  • Handle confidential information with complete discretion.
  • Execute ad-hoc operational tasks and special projects on behalf of the CTO.

Requirements

Must-Have Qualifications

  • 4+ years of experience as an Executive Assistant or Chief of Staff supporting C-level leaders (CTO, CIO, VP Engineering, or similar).
  • Strong organizational, time-management, and prioritization skills.
  • Ability to manage complex calendars and global schedules.
  • Excellent written and verbal communication skills in English.
  • Experience in fast-paced, high-growth tech or Web3 organizations.
  • High level of discretion, professionalism, and reliability.
  • Ability to proactively anticipate needs and manage multiple priorities simultaneously.

Preferred

  • Experience supporting technical leaders or engineering organizations.
  • Familiarity with blockchain, Web3, open-source ecosystems, or developer tooling.
  • Comfortable working across time zones and adapting to frequent schedule shifts.
  • Experience preparing technical summaries, briefs, or documentation.
  • Strong proficiency with Notion, Google Workspace, Slack, and project management tools.
