Operations Manager

Thailand

Purpose/ Mission:

The Operations Manager is responsible for overseeing and coordinating the daily operational activities across multiple functions, including office management, travel and logistics, finance, legal administration, and public relations/local stakeholder management. The role ensures the smooth establishment and efficient running of the company’s Thailand office while supporting strategic initiatives and the CEO. The Operations Manager will implement and monitor administrative policies, manage vendor and stakeholder relationships, and provide essential operational support to drive organizational success and growth.

Key Responsibilities:

Office Management

  • Coordinate the setting up of the company’s Thailand office including office search, lease negotiation, preparation of lease agreement, office design and layout preparation in coordination with the marketing team, execution of office preparation and opening
  • Design and implement administrative policies and procedures to facilitate an organised running of the company’s Thailand office
  • Manage day to day operations of all office services to ensure the company's administrative needs are met including safety and safety instructions, mail, pantry, reception and visitor management, phone management, office decoration
  • Coordinate and support office events & administrative duties as and when requested by the CEO.

Travel and Logistics

  • Provide logistics support for all company team members including employees and consultants
  • Prepare a visitor guide for Thailand and Bangkok including recommended hotels, restaurants, transport, interesting sights
  • Prepare a safety guide for all company team members and visitors for Thailand and Bangkok in English and Thai language
  • Lead and coordinate car and domestic travel management
  • Negotiate with hotels in Bangkok and in the future plant area corporate packages including for preferred rates, rooms, and services
  • Prepare a visitor guide for Bangkok and Thailand including recommended hotels, restaurants, transport, interesting sights.

Finance, Legal, and Other

  • Until the setting up of a finance function, coordinate and manage local payments including rent, payroll, fees, logistics, general expenses; manage the company’s petit cash
  • Until the setting up of a finance function, coordinate and manage accounting and legal filing, in coordination with external accounting and legal support
  • Coordinate the hiring of external accounting and legal support
  • Until the setting up of a finance function, coordinate and manage the relationship with the company's partner bank(s) including providing information as required
  • After the setting up of a finance and legal function, support the finance and legal functions in doing the above
  • Support the Business Development Team in establishing contacts with future customers and potential channel partners; participate in customer and channel partner interviews; support the Business Development Team in completing relevant market surveys, domestic and export
  • Support the filing of key documents in the company’s future shared drive
  • Support the company’s CEO as and when requested.

Public Relations and Local Stakeholder Management

  • Work with the PR department to prepare a local stakeholder register and share with relevant teams and team members within the company
  • Develop annual key event calendar in cooperation with the Marketing and PR Team
  • Support the Marketing and PR team in coordinating media events and requests.

Requirements/ Skills/ Experience:

  • Proven experience in managing multi-functional operations, including office management, travel logistics, and administrative support.
  • Ability to coordinate vendor relationships, negotiate contracts, and handle local payments and filings with external partners.
  • Excellent communication, interpersonal, and problem-solving skills with strong organizational capabilities.
  • Proficient in English; knowledge of Thai is an advantage.

Required Education/ Qualification/ Training:

  • A Bachelor’s degree in Business Administration, Operations Management, or a related field is required.
  • A Master’s degree or relevant professional certifications (e.g., PMP, Lean Six Sigma) would be advantageous.

Required Language Proficiency:

  • English - Fluent
