MariaDB is growing our talent acquisition team with this new position and is looking for someone to help expand a well-run global recruiting coordination function.

The Global Recruiting Coordinator plays a critical role in supporting the company’s hiring process by coordinating all aspects of recruitment and ensuring a seamless candidate and hiring manager experience. In a database company, where technical talent and specialized roles are key, the Global Recruiting Coordinator partners closely with candidates, recruiters, hiring managers, and interview teams to manage scheduling, communication, and logistics related to attracting top technical talent.

Responsibilities

Recruiting Operations:

  • Coordinate all stages of the recruitment process, including interview scheduling, travel arrangements, and follow-up communication
  • Scheduling and coordinating phone screens and interviews, working directly with the candidates, and hiring managers to ensure that the interview experience is both positive and enjoyable for all
  • Maintain and update the Greenhouse Applicant Tracking System (ATS) to ensure accurate data with candidate information, workflow status, job postings, scheduling and interview feedback. Greenhouse experience required.
  • Draft and post job descriptions on internal and external platforms, ensuring alignment with company tone and branding
  • Support recruiters in sourcing and screening candidates for positions in engineering, database development, product, and business teams
  • Working collaboratively with candidates, recruiters and hiring managers to maintain accuracy and data integrity
  • Preparing offer letters and other onboarding processes
  • Initiating and tracking candidate background checks

Candidate Experience:

  • Act as a key point of contact for candidates, providing timely updates and ensuring a professional, welcoming experience
  • Communicate interview details clearly, including technical assessment setup (e.g., assessments, case studies, or problem-solving sessions)
  • Gather feedback from interviewers and assist in debrief scheduling and decision meetings

Hiring Team Support:

  • You have a passion for creating and sustaining a positive company culture and contributing to MariaDB's reputation and success
  • Work with recruiters to understand interview panel availability, technical requirements, and hiring timelines
  • Prepare interview materials — such as evaluation forms or candidate profiles — before assessments
  • Coordinate with HR on offer letters, background checks, and onboarding schedules

Data and Reporting:

  • Generate and analyze recruitment metrics (time-to-fill, candidate pipeline reports, source effectiveness)
  • Support compliance by maintaining accurate and confidential candidate data in the ATS
  • Assist in process improvement initiatives related to recruiting efficiency and data accuracy Assisting with other recruiting activities as needed
  • Work on special projects for the TA and HR teams as needed

 

Qualifications

Experience:

  • 2–3 years of experience in recruiting coordination or HR administration, preferably in a technology or database-focused company
  • Experience using ATS Greenhouse, preferred or HRIS tools Bamboo HR preferred
  • Familiarity with technical recruitment processes (for software engineers and developers, database admins, data scientists, etc.)
  • Scheduling - You have excellent scheduling skills, particularly when juggling multiple busy calendars - Experience scheduling in Greenhouse and Google required
  • You have unmatched documentation and organizational skills, and you excel at prioritizing when given multiple projects. Your attention to detail is second to none
  • Problem-Solver. You love tackling the most difficult challenges and know how to get to the best solution
  • Fast paced. You thrive in a fast- paced environment and know exactly how to prioritize when balancing many different projects and timelines. You are results driven and always operate with a sense of urgency

Skills:

  • Excellent organizational and time-management skills; ability to manage multiple priorities and an eye for details
  • You have exceptional communication skills, both oral and written. You effectively communicate with a wide variety of audiences at all levels of an organization
  • Proven ability to maintain and handle sensitive information and maintain strict confidentiality as required
  • High attention to detail and data accuracy
  • You have a technical background- Proficiency with scheduling tools (Greenhouse, Google Calendar, Outlook, Slack, etc.) and collaboration platforms
  • Comfort working in a fast-paced, high-tech environment
  • You are a team player and have a positive attitude and work well as part of a team.
  • You are self-motivated and thrives in a fast-paced, rapidly changing environment
  • Interest or background in database technologies (e.g., SQL, cloud data platforms).
  • Experience supporting technical or engineering hiring in SaaS or enterprise software environment
  • Have introduced or utilized AI tools in the recruitment process 

Education:

  • Bachelor’s degree in Human Resources, Business Administration, Communications, or related field

Success Indicators:

  • Smooth and timely interview scheduling with minimal rescheduling
  • Positive feedback from candidates and hiring teams
  • Accurate and up-to-date talent pipeline tracking
  • Contribution to continuous improvement in recruiting workflow efficiency
