Legal Operations Specialist

Role Summary: We are looking for a process-minded, tech-savvy legal operations specialist to join our Legal team. This role focuses on the operational excellence of the Legal department. You will work closely with the Legal and Sales Operations teams.

This role is ideal for a contract manager, contract administrator, legal secretary or paralegal who is passionate about legal operations and Legal Tech.

Key Responsibilities

  • Contract Workflow Execution: Manage the daily flow of legal requests and contracts, ensure contracts are routed correctly for internal review, signing, and archiving. Act as the primary manager for DocuSign CLM. Ensure all executed contracts are properly filed and that CLM metadata (dates, values, clauses) is accurate.
  • Operational Reviews & IP Registrations: Perform initial operational review of NDAs, procurement contracts, and standard sales agreements for basic accuracy (names, dates) and identification of terms requiring review and approvals. Organize and manage copyright and trademark registrations with the help of external law and patent firms.
  • Legal Process Improvement & Support: Assist in streamlining the contract review process and contribute to legal processes, templates, policies, reports, and KPIs. Provide operational support to Sales and other global teams, helping them understand how to request legal support and check the status of their requests. Stay current on Legal Tech including AI for lawyers and legal operations.

Qualifications

  • Experience: Minimum 2 years of experience in legal operations or legal project management, or in a contract manager, contract administrator, legal secretary or paralegal role, ideally within a software or technology environment.
  • Education: A Bachelor’s degree in Business, Administration, or Law. A law degree or partial legal education is a plus, but active bar admission is not required. This role focuses on operational excellence rather than legal practice.

Required Skills

  • Technical Stack: Advanced proficiency with MS Office (Excel/Word) and Google Workspace. Proficiency with Salesforce and DocuSign (CLM & eSignature).
  • Organizational Mastery: Exceptional attention to detail with the ability to manage high-volume workflows without losing track of individual requests.
  • Communication: Strong interpersonal skills to collaborate with diverse, global, distributed teams and external legal vendors.

Preferred Skills

  • Bilingual proficiency in English and at least one additional language.
  • Experience or familiarity with Open Source software, on-premises software and Cloud/SaaS.
  • Certifications: Project Management Professional (PMP), Corporate Legal Operations Consortium (CLOC), Certified DocuSign CLM Workflow Developer and other DocuSign CLM certifications.
