Human Resources Business Partner
Context
Mallards Support Services Ltd (MSS) is a recently formed company at the heart of a group of philanthropically funded sustainability initiatives in the Isle of Man. Several legal entities are involved in addition to MSS: namely, The Shuttleworth Botanic Garden Foundation, Botanical Operations Ltd, Mallards Diggers Ltd, Mann, Milk and Honey Ltd and MMH Farming Ltd. Three companies are employers.
South African British technology entrepreneur Mark Shuttleworth lives on the Island and has been investing in these projects for over a decade. The coming year will see a significant increase in activity and, thus, in the number of people employed in the Isle of Man (expected to increase steadily to approximately 50).
MSS provides a range of administrative and support services to all projects on the Island. Its office base is in Santon.
Role Summary
Delivery of an effective, efficient and professional HR service to group employees.
The primary focus of the role will be to:
- provide HR support, advice and guidance while adhering to policies, relevant employment and equality legislation and best practice; and
- provide employee lifecycle and operational HR support, working closely with the leadership team.
Key Responsibilities
- Support the sourcing and recruitment of a diverse workforce with the required skill sets, values and behavioural competencies.
- When requested, advise on and create fit for purpose role profile and job description documentation.
- Ensure compliance with all ‘Right to Work’, visa and Isle of Man work permit requirements.
- Administer all HR operations, including, but not limited to: conducting pre-employment screening; preparing offers of employment (to include terms and conditions): induction process for new starters; probation reviews; grievances; terminations; secondees; and employment changes.
- Manage leavers’ processes, including acknowledgement of resignation letters, calculating holiday entitlements and final payments.
- Take an active role in the administration of people-related projects, supporting managers as required.
- Prepare payroll files including processing of time off in lieu, starters and leavers, amendments, deletions or adjustments including additional payments or deductions in line with statutory requirements.
- Ensure all records in the HR information system are up to date and documentation is stored appropriately in compliance with GDPR principles.
- Act as the lead on employee benefits such as pensions and insurance cover.
- Answer employee questions and provide requested information in a timely and efficient manner.
- Provide reports on HR matters to the leadership team.
- Drive continuous improvement across all HR and people processes.
- Actively monitor employee performance, learning and development and general conduct; providing advice and guidance to managers and supervisors where appropriate.
- Organise mandatory health and safety training, ensuring that courses and attendance are recorded and scheduled accordingly.
Skills, Qualifications and Experience
Degree educated with relevant HR qualification are required: as are strong generalist HR experience, including HR advice and support, change management, HR administration and processes, recruitment and selection.
- Good experience of HR and ATS systems and previous experience of running payroll.
- Sound knowledge and understanding of Isle of Man employment, work permit, visa and equality law and data protection principles.
- Ability to recognise and act on the implications of actions and decisions regarding people matters across the group.
- Strong influencing and facilitation skills.
- A people-person with a collaborative approach.
- Strong customer service ethos and the ability to deal with difficult situations in a professional and diplomatic manner.
- Comfortable working at all levels of the organisation.
- Able to apply a practical and fair approach to issues.
- Discreet, ethical, confidential and abie to act with integrity at all times.
- Highly organised with excellent attention to detail.

General
This role is intended to be full-time and office based.
The successful candidate will need to have a full, clean driving licence as the role may involve working at different sites on the Island.
